HVAC Dispatcher – Keeping the Field Moving and Customers Flowing

We are growing and need an HVAC Dispatcher who can coordinate HVAC, plumbing, and electrical service calls with precision and confidence. Dispatching is not just answering phones and filling schedules. It is strategy, communication, and being the central hub that keeps technicians productive and customers taken care of.

This role will initially step in to support the team during a maternity leave, with a primary focus on dispatching and coordinating the electrical service division. This is a great opportunity to get embedded in our operations, build relationships, and make an immediate impact. Upon the team member’s return, the role will expand to include training and development within the HVAC side of the business, creating a well-rounded dispatcher who supports multiple service lines.

As our HVAC Dispatcher, you are the one who sees the day before it happens. You balance technician availability, customer needs, urgency, and geography to build a schedule that works in the real world.

You will work closely with technicians, service managers, and customers across HVAC, plumbing, and electrical service. When the day runs smoothly, calls are completed efficiently, and customers are happy, you know it started with you.

Responsibilities of the Job:

• Schedule and dispatch HVAC, plumbing, and electrical service technicians for daily service calls, maintenance, and emergency requests
• Build and adjust schedules in real time to maximize efficiency and technician productivity
• Communicate with customers to confirm appointments, provide updates, and deliver a high level of service
• Prioritize emergency and high-priority calls while balancing existing schedules
• Monitor technician progress throughout the day and make adjustments as needed
• Coordinate job details, parts availability, and special instructions with technicians
• Maintain accurate records of service calls, job status, and customer interactions
• Collaborate with service managers to improve scheduling flow and operational efficiency
• Support routing decisions to reduce drive time and increase completed calls per day
• Handle high call volume with professionalism and urgency
• Ensure all dispatching processes align with company standards and customer expectations
• Assist with administrative support related to service operations as needed

Qualifications for the Job:

• 3–5 years of dispatching or service coordination experience (HVAC, plumbing, electrical, or similar field preferred)
• Strong organizational and time management skills in a fast-paced environment
• Excellent communication and customer service abilities
• Ability to multitask, prioritize, and problem-solve in real time
• Experience with dispatching or scheduling software
• High attention to detail and ability to stay organized under pressure
• Team-oriented mindset with strong collaboration skills
• Familiarity with service territories, routing, and technician workflows preferred
