HVAC Dispatcher/Administrative Assistance

We are a family-owned and operated HVAC company seeking a highly organized, customer-focused Dispatcher to join our team. As the first point of contact for many of our customers, the Dispatcher plays a critical role in coordinating service calls, supporting technicians in the field, and ensuring exceptional customer service. This position requires strong communication skills, attention to detail, and the ability to thrive in a fast-paced environment.

Responsibilities

• Schedule and dispatch HVAC technicians for service, maintenance, and installation appointments.
• Answer incoming customer calls professionally and courteously.
• Coordinate technician schedules to maximize efficiency and customer satisfaction.
• Monitor technician progress throughout the day and adjust schedules as needed.
• Create and maintain accurate customer records, work orders, and service documentation.
• Follow up with customers regarding appointment confirmations, service completion, and satisfaction.
• Assist with invoicing, data entry, and other administrative tasks as needed.
• Maintain clear communication between office staff, technicians, and management.

Qualifications

• Excellent verbal and written communication skills.
• Strong organizational and multitasking abilities.
• Proficiency with computer systems, scheduling software, and Microsoft Office.
• Ability to remain calm and professional under pressure.
• High school diploma or equivalent required.

Pay: $20.00 - $26.00 per hour
