HVAC Maintenance & Retrofit Manager

The HVAC Maintenance & Retrofit Manager is responsible for overseeing the operation, maintenance, and retrofitting of HVAC systems across facilities. This role requires strong technical expertise in HVAC engineering combined with proven leadership skills to manage a team of technicians, ensure system reliability, and implement energy-efficient retrofit solutions.

Key Responsibilities

1. Team & Operations Management

Lead, supervise, and mentor a team of HVAC engineers and technicians.

Allocate resources, assign tasks, and monitor performance to ensure timely completion of maintenance and retrofit activities.

Conduct regular training and upskilling programs for technicians on latest HVAC technologies and safety practices.

2. Preventive & Corrective Maintenance

Develop and implement preventive maintenance schedules for all HVAC equipment (chillers, AHUs, FCUs, VRF/VRV, ducting, and exhaust systems).

Ensure timely resolution of breakdowns and emergencies with minimal system downtime.

Review service reports and verify the quality of work carried out by the team.

3. Retrofit & Energy Efficiency Projects

Identify underperforming or outdated HVAC systems and propose retrofit solutions (e.g., VFDs, high-efficiency compressors, smart controls).

Plan and execute retrofit projects, ensuring smooth integration with existing systems.

Coordinate with consultants and vendors to evaluate and procure the best-fit retrofit solutions.

Monitor post-retrofit performance and verify energy savings achieved.

4. Project & Client Coordination

Manage retrofit and maintenance projects from planning to execution within defined budgets and timelines.

Liaise with facility managers, contractors, and suppliers to ensure smooth execution.

Provide technical support in client meetings and present solutions for system upgrades and energy optimization.

5. Compliance & Documentation

Ensure adherence to ASHRAE, SMACNA, and local authority regulations.

Maintain accurate records of maintenance activities, spare parts inventory, and retrofit projects in CMMS or facility management systems.

Prepare monthly performance reports, energy-saving reports, and compliance documentation.

6. Health, Safety & Quality Assurance

Enforce strict compliance with health and safety standards during maintenance and retrofit activities.

Conduct risk assessments, toolbox talks, and regular safety audits.

Ensure technicians follow standard operating procedures (SOPs) and quality standards.

Qualifications & Experience

Bachelor’s Degree/Diploma in Mechanical or HVAC Engineering.

8–12 years of experience in HVAC maintenance, with at least 3–5 years in a supervisory/managerial role.

Proven track record in HVAC retrofit projects and energy optimization.

Strong knowledge of chillers, VRF/VRV, ducting systems, and BMS/BAS integration.

Excellent leadership, communication, and client-facing skills.
