Role Overview

We are seeking a high-level Operations Manager to bridge the gap between technical field excellence and strategic financial management. This role is designed for a veteran of the HVAC industry who possesses a sharp mind for business and the ability to navigate complex insurance claims. You will be the primary strategist responsible for ensuring our projects are executed with technical precision while maximizing profitability through effective insurance coordination.

Key Responsibilities

1. Insurance Strategy & Advocacy

Liaison with Carriers: Act as the primary point of contact for partnered insurance companies.

Claim Optimization: Analyze damaged systems and policy coverage to determine the best course of action (repair vs. replacement) to benefit both the company’s bottom line and the client’s needs.

Documentation Mastery: Oversee the creation of detailed reports, photo documentation, and technical justifications required to secure maximum approval for claims.

Strategic Advisory: Provide daily recommendations to ownership on which jobs to prioritize based on "money-wise" and "work-wise" analysis.

2. Technical Operations Oversight

Workflow Efficiency: Manage scheduling and dispatch to ensure the right technicians are on the right jobs.

Quality Control: Conduct periodic site visits and review completed work to ensure it meets both company standards and insurance requirements.

Technical Support: Serve as a subject matter expert for field crews when they encounter complex installation or diagnostic issues.

3. Business & Financial Management

Job Costing: Review labor and material costs against insurance payouts to maintain healthy margins.

Process Improvement: Identify bottlenecks in the "insurance-to-install" pipeline and implement solutions to speed up turnaround times.

Required Qualifications

HVAC Expertise: Minimum of 5–7 years in the HVAC industry, with a deep understanding of residential and commercial systems.

Insurance Knowledge: Proven experience working with insurance adjusters, navigating Xactimate (or similar estimating software), and understanding the claims process.

Communication Skills: The ability to translate technical HVAC jargon into "business logic" for insurance partners and "actionable steps" for ownership.

Decision-Making: A strong "ownership mindset"—the ability to look at a project and decide if it is worth the labor hours versus the projected revenue.
