Job Title: HVAC Installation Production Coordinator

Job Summary

The HVAC Installation Production Coordinator manages the daily scheduling, logistics, and administrative tasks required to complete residential and commercial HVAC projects efficiently. This role serves as the central communication hub between the Production Manager, installation crews, warehouse staff, and customers to ensure high-quality, on-time project completion.

Key Responsibilities

• Scheduling: Coordinate and optimize daily dispatch schedules for multiple installation teams.
• Customer Service: Act as the primary point of contact for customers regarding installation timelines, preparation, and follow-up care.
• Compliance: Schedule and inspect required inspections for completed jobs.
• Logistics & Equipment: Verify equipment and material availability with the warehouse manager prior to job dates.
• Financial Tracking: Process installation paperwork, verify job costs, and ensure all payments are collected.
• Warranty Processing: Submit manufacturer warranty registrations and rebate paperwork on behalf of customers.
• Problem Solving: Resolve scheduling conflicts, delayed shipments, or crew issues in real time.

Qualifications & Skills

• Experience: 2+ years of experience in scheduling, dispatching, or project coordination (HVAC or construction industry preferred).
• Software Proficiency: Experience with field service management software (e.g., ServiceTitan, Housecall Pro) and Microsoft Office.
• Communication: Exceptional verbal and written communication skills for managing customer expectations and field technician dynamics.
• Organization: Strong multitasking abilities with strict attention to data accuracy and deadlines.
• Education: High School Diploma or GED required; Associate degree in business administration or related field preferred.
