About the Role
Baker Home Energy is seeking a HVAC & Service Coordinator to support our HVAC and service teams. This role is critical in ensuring the smooth execution of installations and service calls through effective scheduling, permitting, subcontractor coordination, and customer support.
The ideal candidate will have strong organizational skills, experience in HVAC or construction operations, and the ability to communicate confidently with customers, field staff, and city agencies.
What You’ll Do
- Coordinate permitting and inspections, including submitting applications for HVAC systems, EV chargers, and MPU upgrades.
- Act as a liaison between Baker Home Energy and local city jurisdictions, ensuring compliance with permitting rules and inspection protocols.
- Build and maintain relationships with city representatives through proactive communication.
- Request HERS testing and city inspections, including rescheduling failed inspections.
- Assist customers with city communications and resolve permit-related issues with cities or HOAs.
- Book HVAC installations, schedule service calls, and dispatch field technicians.
- Coordinate subcontractors for specialized tasks such as drywall repairs or crane services.
- Manage customer contracts, payments, and financing arrangements.
- Submit rebate applications for eligible installations.
- Prepare weekly purchase order packets and operational reports.
- Provide real-time support to field employees and follow up with inspectors on permit status and outcomes.
- Manage service purchasing and vendor coordination.
- Perform other related duties as assigned.
What We’re Looking For
Experience & Education
- 2+ years of permitting, coordination, and/or operations experience.
- Prior experience in HVAC, electrical, or construction industries preferred.
- Customer service experience (phone and email), with formal training a plus.
Knowledge & Abilities
- Familiarity with permitting processes and inspection protocols.
- Strong organizational and multitasking abilities.
- Excellent communication and customer service skills.
- Proactive, detail-oriented, and able to problem-solve effectively.
Technical Skills
- Proficiency in scheduling software and document management systems.
- Basic understanding of HVAC, construction, or service project lifecycles.
Work Environment & Physical Demands
- Standard office environment with frequent standing, walking, sitting, talking, and hearing.
- Occasional lifting of boxes/materials (up to 25 lbs).
- Onsite role with daily interaction between field and office teams.

The starting salary for this opportunity range is listed. Other rewards may include annual bonus eligibility, which is based on company and individual performance, short- and long-term incentives, and program-specific awards.
