HVAC Service Dispatcher/CSR

Job Overview
We are seeking an energetic and detail-oriented HVAC Service Dispatcher/Customer Service Representative (CSR) to join our dynamic team. In this vital role, you will coordinate service appointments, communicate with technicians and customers, and ensure smooth scheduling and dispatching of HVAC service calls. Your proactive approach and excellent communication skills will help deliver exceptional customer experiences while maintaining efficient operations. This position offers an exciting opportunity to be the central hub of our service delivery process, ensuring timely responses and high customer satisfaction.

Responsibilities

  • Receive incoming service requests via multi-line phone systems, email, and online platforms, ensuring all inquiries are handled promptly and professionally
  • Schedule and dispatch HVAC technicians efficiently using transportation management systems and GPS tools to optimize routes and response times
  • Maintain accurate data entry in systems
  • Coordinate with supply chain teams to ensure parts availability and proper shipping & receiving procedures for service parts and equipment
  • Monitor fleet management systems to track technician locations, vehicle status, and service progress using GIS, GPS, and transportation planning tools
  • Communicate clearly with customers regarding appointment times, technician ETA’s, and service updates while demonstrating excellent phone etiquette and communication skills
  • Support logistics operations related to freight movement, 3PL providers, and shipping schedules to ensure timely delivery of materials needed for service jobs

Skills

  • Strong analysis skills with the ability to interpret data from transportation management systems and logistics platforms
  • Proficiency in dispatching techniques combined with excellent communication skills for effective customer interaction
  • Experience with GIS, GPS technology, Oracle Transportation Management, SyteLine, AS400 or similar enterprise resource planning (ERP) systems
  • Ability to perform data entry accurately while managing multiple priorities in a fast-paced environment
  • Excellent phone etiquette coupled with strong written communication skills for professional customer engagement

Pay: $18.00 - $24.00 per hour
