HVAC Technical Dispatcher Salary Range $45,000-$75,000

Position Summary:

An HVAC dispatcher must be highly organized and detail-oriented, able to manage multiple service calls, coordinate technicians, and adjust schedules in real time. Task management and prioritization skills are essential, as dispatchers must quickly assess urgent jobs while keeping the daily workflow efficient. Strong problem-solving skills to handle last-minute cancellations, emergencies, and unexpected delays without disrupting operations is required.

Excellent customer service skills are also critical. Dispatchers are often the first point of contact for customers, so a pleasant phone demeanor, clear verbal communication, and professionalism are a must. Skilled in using HVAC dispatching software, phones, and other office equipment while maintaining accurate records is preferred. Familiarity with HVAC terminology is also a plus.

Key Responsibilities:

  • Schedule and dispatch service calls, preventive maintenance visits, and emergency repairs based on technician skillset, location, and workload.
  • Communicate with customers to confirm appointments, relay updates, and ensure timely follow-up.
  • Support technicians by preparing work orders, ensure that technicians have necessary tools and parts before dispatching, and providing directions or access information.
  • Monitor technician progress throughout the day, anticipating scheduling conflicts and adjust schedules/routes as needed to maintain efficiency, including a final check in daily.
  • Maintain accurate and current records of all service calls, customer communications, and job completions in ServiceTitan (or equivalent), including communicating and assisting with any and all follow ups needed.
  • Coordinate after-hours and on-call schedules.
  • Ensure customer satisfaction through prompt, professional, and consistent communication.
  • Compliance & safety monitoring – Ensuring technicians follow company policies, safety regulations, and licensing requirements

Skills and Attributes Required:

  • Strong communication and organizational abilities.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Experience with service management software (ServiceTitan, FieldEdge, etc.).
  • Familiarity with HVAC systems, terminology, and workflow.

Job Type: Full-time

Pay: $45,000.00 - $75,000.00 per year
