HVAC/R Estimator

Location: Remote, with operations in California, Hawaii, and Nevada

Job Description
An HVAC/R Estimator will be responsible for preparing accurate, timely proposals for, repairs, retrofits, and related commercial HVAC and commercial refrigeration projects. This role is critical to supporting our growth by ensuring fast, organized, and profitable quote production.

This position works closely with customers, field technicians, suppliers, and ownership to turn scopes into professional proposals quickly and efficiently. Must work from 8am-5pm Pacific time.

This position is primarily a remote position. Reliable internet connection is required.

Responsibilities

• Review technician scope notes, photos, and job details
• Obtain equipment and material pricing and order from suppliers
• Build detailed proposals for HVAC/R replacements and repairs
• Develop labor and material takeoffs for projects
• Coordinate crane, curb adapter, and accessory pricing
• Maintain pricing templates and estimating systems
• Track open quotes and follow up as needed
• Communicate with customers regarding project and parts ETA’s with excellent customer service
• Support continuous improvement of estimating workflows
• Assist in answering phone calls
• Review invoices for accuracy, adjust and send to customers after approved.
• Handle customer inquiries, complaints, and escalations, resolving issues promptly and effectively to maintain positive customer relationships.
• Turn around proposals within 48 hours.
• Be accurate and timely with invoices, inventory, timecards, etc.
• Other responsibilities as assigned.

Qualifications

• Required: minimum of 1-3 years of experience in HVAC/R repairs, service, installation and/or sales. Commercial preferred.
• Strong knowledge of rooftop units, gas/electric systems, and controls
• 1-5 years of estimating experience preferred
• Ability to interpret field diagnostics and jobsite photos
• Experience with supplier pricing and equipment selection
• Detail-oriented and process-driven
• Strong verbal and written communication skills
• Comfortable working in a fast-paced, high-volume environment
• Proficient with Excel and estimating software
