Overview
Our law office, dedicated exclusively to Immigration Law, is seeking a reliable and motivated Immigration Assistant to join our growing team. This position is ideal for someone with administrative or secretary experience in the immigration field who is eager to expand their skills and support a fast-paced legal practice. We offer an exciting opportunity to develop your legal administrative skills while working closely with experienced attorney and legal professionals.
Responsibilities
- Provide administrative support including data entry, filing, proofreading, transcription, and managing phone inquiries with professionalism and courtesy
- Answer and route incoming calls professionally
- Assist paralegals with case preparation and administrative tasks
- Communicate with clients regarding case updates, required documents, and appointment reminders
- Help maintain case files and track deadlines
- Learn new tasks and responsibilities as needed to support the team and grow within the company
- Assist in preparing, reviewing, and organizing immigration-related documents, including applications, petitions, and supporting materials
- Manage case files using legal case management systems and document management platforms
- Support attorneys with client interviews by scheduling appointments, gathering necessary documentation, and documenting interview notes
- Review legal documents for accuracy, completeness, and compliance with applicable laws and regulations
- Maintain detailed records of case progress, deadlines, and correspondence to ensure timely submissions
Experience
- Prior experience in Immigration Law (secretary, assistant, or similar role)
- Strong communication and customer service skills
- Willingness to learn and grow within the firm
- Bilingual (English/Spanish)
- Excellent research skills utilizing legal research tools
- Familiarity with legal case management software and document review processes
- Proven writing skills for drafting correspondence, reports, and legal documents with precision and clarity
- Experience supporting attorneys in project management
- Knowledge of clerical practices including filing systems, data entry accuracy, phone etiquette, and document management systems
