We are expanding our operations in Moga and are seeking a highly responsible, intelligent, and proactive professional to oversee office coordination and immigration file processing.
Position Overview
This is a key leadership and coordination role in our Moga office.
The selected candidate will be responsible for:
- Overseeing all ongoing immigration applications
- Managing documentation and file processing
- Supervising internal office workflow
- Monitoring staff performance and discipline
- Reporting directly and confidentially to the business owner (based in Canada)
We are looking for someone who can independently manage day-to-day operations, ensure deadlines are never missed, and maintain the highest level of professionalism and client care.
Key Responsibilities
Immigration File & Application Management
- Review and verify client documents for accuracy and completeness
- Coordination for immigration applications for Canada and other countries
- Track application timelines and ensure no deadlines are missed
- Maintain organized digital filing systems
- Communicate daily with the Canadian head office regarding case updates
Office Operations & Staff Coordination
- Oversee daily office activities and workflow
- Monitor staff attendance, punctuality, and discipline
- Ensure proper handling of all client inquiries and walk-ins
- Assign tasks appropriately and ensure efficient file processing
- Identify operational issues and propose solutions
- Prevent client mismanagement or delay in services
Reporting & Confidential Oversight
- Provide regular status reports on all active cases
- Inform management of any delays, errors, or operational concerns
- Maintain strict confidentiality in reporting
- Observe staff conduct and report any serious concerns professionally
- Ensure compliance with company standards and ethical practices
Client Handling & Service Quality
- Track client visits and inquiry records
- Ensure high-quality client communication and follow-up
- Maintain professional standards in all interactions
- Ensure transparency and accountability in office dealings

Job Requirements
- Minimum Bachelor’s Degree (Required)

- Strong documentation and file handling ability
- Ability to manage multiple tasks simultaneously
- Must be based near Moga
Prior experience in immigration consultancy is preferred but not mandatory for highly capable candidates.
