Collation.AI is a Compliance-Friendly AI Infrastructure for Financial Services (which includes Data warehouses, bots for data ingestion <APIs, SFTPs, PDFs>, reconciliation, unified data models, and compliant vibe coding with guard rails.

Our AI bots extract data from any system or PDF, load it into a centralized data warehouse, maintain data quality, and then feed it into the tools and workflows our clients rely on every day.

We create AI native infrastructure for wealth managers, enabling AI-powered analytics, reporting, workflows, and business efficiency.

We originated from the WealthTech provider Canopy.cloud, which reports on over USD 170 billion in assets and is backed by leading family offices and global private banks.

Our clients include family offices, RIAs, private banks, trust companies, external asset managers, and accounting firms across the global wealth management ecosystem.

The Role

We are looking for an Implementation Specialist to join our growing US team and sit at the intersection of Sales, Product, and Engineering. You will partner closely with Sales on pre-sales Proof of Concept (PoC) projects and then lead the transition into full production implementations.

From day one, you will work hands-on with client data, build databases and workflows, orchestrate data feeds and automations, and help design the dashboards and user interfaces that bring Collation.AI to life for our customers. This is a client-facing, highly technical role in a fast-moving startup environment where you will own outcomes end to end.

What You’ll Do

Pre‑Sales & Proof of Concept

· Collaborate with Sales on new opportunities: join discovery calls, understand scope, and shape PoC plans and success criteria.

· Receive and process client source data (e.g. bank statements, PE capital call notices, invoices) often as PDFs, and use our PDF processing tools to extract structured data.

· Design and stand up PoC data environments: create PostgreSQL databases, define schemas, load and validate data, and document assumptions and edge cases.

· Build initial reporting and analytics views using BI tools such as Microsoft Power BI or AI-assisted “vibe code” style UI generation tools (e.g. Claude Code, Lovable) to demonstrate value quickly.

Implementation & Automation

· Lead the transition from PoC to full production: harden data models, workflows, and integrations, and align timelines and deliverables with client stakeholders.

· Design and implement automated data feeds, including scheduled ingestion of CSV files over SFTP, REST/JSON APIs, and custodian bank data connections.

· Develop Python-based “bots” to automate manual client processes, e.g. logging into portfolio systems, downloading specific datapoints, loading into databases, and triggering downstream workflows.

· Build and maintain reconciliation logic (in Python/SQL) to compare portfolio/accounting data across portfolio management systems, general ledger systems, and custodians, and surface and resolve breaks.

· Configure and support integrations with key industry systems (e.g. Addepar, Orion, Tamarac, Black Diamond, Archway, QuickBooks, Sage Intacct, Xero, NetSuite, Business Central, Salesforce, HubSpot, Wealthbox, etc.).

Client Management & Handover

· Act as the primary technical contact for your implementations, managing project plans, risks, and communication with client sponsors and power users.

· Translate client business requirements into clear, implementable user stories and technical tasks, and keep all stakeholders aligned on scope and trade-offs.

· Drive the client to “business as usual” by stabilizing data flows, dashboards, and automations, then coordinate a clean handover to our Customer Support / Customer Success teams.

Who You Are

Must‑Have

· Based in the United States and authorized to work for any US employer (US citizen or Green Card holder strongly preferred; we are unable to sponsor visas for this role).

· 2–5 years of experience in financial data, implementation, or deployment roles, such as implementation specialist, data analyst/engineer, reconciliation specialist, or FinTech/WealthTech deployment.

· Strong hands-on experience with relational databases, ideally PostgreSQL: designing schemas, writing SQL, optimizing queries, and troubleshooting data issues.

· Solid Python skills for scripting, data processing, and building simple automation bots (web login, file download, API calls, reconciliation logic).

· Practical experience working with data feeds: CSV/Excel, SFTP, REST APIs, web-based exports, and basic ETL concepts.

· Financial data literacy: you understand transactions, positions, cash, balances, security masters, and how portfolio and accounting systems represent these.

· Familiarity with basic accounting concepts (journals, GL accounts, trial balance, NAV, realized/unrealized P&L) and how they tie to investment data.

Nice‑to‑Have

· Prior experience in or with: RIAs, family offices, private banks, external asset managers, trust companies, or accounting firms that support high-net-worth clients.

· Exposure to industry tools such as Addepar, Orion, Tamarac, Black Diamond, Archway, Masttro, QuickBooks, Sage Intacct, Xero, NetSuite, Business Central, Allvue, Canoe Intelligence, Bill.com, Yardi, and similar platforms.

· Experience with the Microsoft stack (Azure, Power BI, SharePoint) and/or modern AI-assisted development tools for building internal dashboards and lightweight UIs.

· Background in WealthTech, FinTech, SaaS, or data platform startups; you are comfortable with ambiguity and wearing multiple hats.

Qualifications

· Bachelor’s degree in Computer Science, Engineering, Mathematics, Finance, or a related technical discipline; equivalent practical experience considered.

· Demonstrated experience delivering technical implementations in financial services or software environments.
