About the Role
The Import/Export Coordinator is responsible for managing the end-to-end import and export operations of the interior design office. The role involves coordinating with international suppliers, shipping agents, freight forwarders, and customs authorities to ensure timely procurement and delivery of furniture, décor, materials, and other interior design items. This position plays a critical role in maintaining supply chain efficiency and supporting the purchase department in sourcing high-quality products.
Key Responsibilities1. Import & Export Operations
- Coordinate import/export shipments of furniture, décor, and interior materials.
- Liaise with international suppliers, shipping lines, freight forwarders, and customs agents.
- Ensure compliance with all import/export regulations, documentation, and duties.
- Track shipments and resolve issues related to delays, damages, or customs clearance.
2. Procurement Support
- Work closely with the Purchase Department to follow up on international orders.
- Assist in sourcing and procuring materials, finishes, and furnishings from overseas suppliers.
- Prepare purchase orders, shipping instructions, and commercial invoices.
3. Documentation & Compliance
- Maintain accurate records of all import/export transactions.
- Prepare and verify necessary documentation, including bills of lading, packing lists, certificates of origin, and customs forms.
- Ensure compliance with international trade regulations and company policies.
4. Logistics Coordination
- Coordinate with transport companies, port authorities, and warehouses for smooth delivery.
- Monitor shipment schedules and provide timely updates to the purchase and design teams.
- Assist in inventory management and stock updates related to imported items.
5. Vendor & Stakeholder Communication
- Maintain strong communication with international suppliers and internal teams.
- Handle inquiries related to shipment status, order updates, and product availability.
- Resolve logistical issues proactively to avoid project delays.
6. Reporting & Analysis
- Generate weekly/monthly reports on import/export status, lead times, and vendor performance.
- Identify areas for process improvement in the import/export workflow.
- Support budgeting and cost analysis for procurement and shipping operations.
Required Skills & Qualifications
- Bachelor’s degree in Business Administration, Supply Chain, Logistics, International Trade, or related field.
- 2–5 years of experience in import/export coordination or logistics, preferably in interior design, furniture, décor, or building materials industries.
- Knowledge of international shipping procedures, customs regulations, and documentation.
- Strong communication and negotiation skills.
- Proficiency in MS Office, Excel, and ERP or procurement software.
- Detail-oriented, organized, and capable of managing multiple shipments simultaneously.
- Ability to work under tight deadlines and handle problem-solving in logistics operations.
