In-Office Sales & Customer Care Coordinator

Position Summary: The In-Office Sales & Customer Care Coordinator will provide essential support across multiple areas of the business, ensuring smooth day-to-day operations and exceptional customer experiences. This role combines administrative, operational, and customer service responsibilities. The position will serve as the main point of contact for inbound calls and customer inquiries, manage daily order coordination with our warehouse and fulfillment teams, assist with house accounts, and support territories without assigned account executives. Additionally, this person will assist in office organization, internal event coordination, and cross-departmental administrative support for the sales, marketing, education, and operations teams.

Employment Type: Full-time.

Location: Hayward, CA

Compensation: Annual salary: $55,000.00, plus bonuses, growth incentives, benefits including health insurance, retirement contributions, paid time off, and professional development opportunities.

Key Responsibilities:

· Serve as the main customer care representative, managing incoming calls, emails, and inquiries.

· Coordinate daily orders, ensuring accuracy and timely communication with the warehouse and fulfillment teams.

· Manage access to the office, including entry via the call box and visitor coordination.

· Maintain professional and friendly communication with customers, partners, and internal staff.

· Manage house accounts and assist territories without a current Account Executive by providing customer service support.

· Assist sales, marketing, education, and operations teams with administrative and project-based tasks as needed.

· Support internal office organization, including stock levels for supplies, event setup, and general upkeep.

· Assist with planning and coordinating office events, meetings, and internal trainings.

· Support system updates and documentation, including order tracking and customer follow-ups.

· Contribute to process improvements and ensure operational efficiency across departments.

Preferred Qualifications:

· Licensed Esthetician or background in skincare preferred.

· Strong communication and organizational skills with a proactive, professional demeanor.

· Ability to multitask and adapt in a fast-paced, team-oriented environment.

· Familiarity with CRM or order management systems is a plus.

Pay: Up to $55,000.00 per year
