We are seeking an energetic and highly organized In-Person Executive & Operations Assistant to support our leadership team and ensure the smooth functioning of daily office operations. - Provide comprehensive executive support by managing calendars, scheduling meetings, and coordinating appointments using tools like Microsoft Outlook Calendar and Google Workspace.
- Serve as the front desk ambassador, greeting visitors, answering multi-line phone systems with professionalism, and maintaining excellent phone etiquette.
- Oversee daily office operations including filing, data entry, document proofreading, transcription, and general clerical tasks to ensure organizational efficiency.
- Assist with event planning and logistics for meetings, workshops, or company functions, coordinating venues, materials, and catering as needed.
- Manage bookkeeping responsibilities using QuickBooks or similar software, including invoicing, expense tracking, and basic bookkeeping duties.
- Support project coordination efforts by tracking deadlines, preparing reports, and ensuring timely completion of tasks across teams.
- Maintain office supplies inventory, organize files (both digital and physical), and ensure the office environment is tidy and welcoming.
- Utilize computer literacy skills across Microsoft Office applications and Google Workspace to prepare presentations, reports, and correspondence.
- Handle confidential information with discretion while providing exceptional customer service to internal teams and external partners. Experience
- Proven experience in administrative roles such as executive assistant or personal assistant within an office environment.
- Demonstrated ability to manage multiple priorities efficiently while maintaining attention to detail.
- Strong organizational skills with the ability to streamline processes and improve workflow.
- Experience with event planning and project coordination is highly desirable.
- Proficiency in office management software including Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace (Docs, Sheets), QuickBooks, and DocuSign.
- Excellent typing speed along with transcription skills; capable of proofreading documents accurately.
- Familiarity with multi-line phone systems and calendar management tools like Microsoft Outlook Calendar is preferred.
- Exceptional communication skills combined with professional phone etiquette and customer service orientation.
- Previous office experience involving clerical tasks such as filing, data entry, and front desk responsibilities will be advantageous.
