Job Title: Administrative Assistant – Recruiting (Industrial Construction)
Job Summary:
HEMI Systems is seeking a detail-oriented Administrative Assistant with experience in industrial construction to support our recruiting and hiring efforts. This role plays a key part in sourcing, coordinating, and onboarding skilled trades and project staff while ensuring a smooth and professional candidate experience.
Key Responsibilities:
- Support full-cycle recruiting efforts for industrial construction roles (craft labor, field supervision, project staff)
- Post job openings on job boards, company website, and trade-specific platforms
- Screen resumes and applications to identify qualified candidates
- Coordinate interviews between candidates, hiring managers, and project teams
- Maintain and update applicant tracking systems (ATS) and candidate databases (Procore)
- Communicate with candidates regarding application status, interview scheduling, and onboarding steps
- Assist with background checks, drug screenings, and pre-employment paperwork
- Prepare offer letters and onboarding documentation
- Track recruiting metrics such as time-to-fill and candidate pipeline status
- Support job fairs, hiring events, and workforce outreach efforts
- Maintain organized digital and physical personnel records
- Provide general administrative support to HR and operations teams
Qualifications:
- 2+ years of administrative experience, preferably in industrial construction, manufacturing, or skilled trades
- Familiarity with construction roles (e.g., welders, pipefitters, millwrights, project coordinators)
- Experience supporting recruiting or HR functions is highly preferred
- Strong organizational and multitasking skills in a fast-paced environment
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Experience with applicant tracking systems (ATS) or HR software is a plus
- Ability to maintain confidentiality and handle sensitive information
Preferred Skills:
- Experience coordinating high-volume hiring for shutdowns/turnarounds or large projects
- Understanding of OSHA or construction safety requirements
- Bilingual (English/Spanish) is a plus
Work Environment:
- Office-based with frequent interaction with field teams and candidates
- May require occasional travel to jobsites, hiring events, or job fairs
