Gallegos Plumbing is hiring an Install Dispatcher / Install Coordinator to keep our install operation running smoothly — from the moment a job is sold to the day it’s billed. This is an office-based coordination role for someone who thrives on systems, follow-through, and keeping jobs, crews, and materials aligned day in and day out.
You’ll be the central point of coordination for install readiness, daily scheduling, and billing accuracy. If a job isn’t ready, you flag it. If materials aren’t staged, you chase them down. If something changes mid-install, you make sure it’s documented and approved before work continues. You’ll work side-by-side with install leads, the warehouse, accounting, and leadership to keep jobs flowing and margins protected.
What You’ll Coordinate
- The full install lifecycle: job sold → readiness verified → scheduled → executed → billed
- Daily ServiceTitan execution — jobs, projects, dispatch board, purchasing, statuses, and billing readiness
- Install scheduling and daily dispatch based on crew capacity
- Material readiness and warehouse coordination — no install starts without confirmed materials and a job association
- Change order tracking — work pauses until scope changes are approved, documented, and entered in ServiceTitan
- End-of-day status updates covering job progress, risks, and billing readiness
- Closing the gap on installs completed but not yet billed
How You’ll Be Measured
- Gross margin and COGS per install job
- Cost of labor (sold hours vs. actual hours)
- On-time completion against what was originally booked
- Time from job completion to billing
- Percentage of installs started with full readiness (scope, materials, permits)
- Reduction in preventable delays, rework, and callbacks
What We’re Looking For
Required:
- 2+ years of hands-on experience using ServiceTitan (jobs, projects, dispatch board, purchasing, job statuses, and reporting) — this is non-negotiable
- 2+ years in dispatch, install coordination, or service operations within plumbing, HVAC, electrical, or another home services trade
- Proven ability to coordinate multiple jobs and crews simultaneously without losing details
- Willingness to hold the line on readiness checks and change order documentation
- Excellent written and verbal communication
Preferred:
- Experience dispatching install crews in a high-volume residential or light commercial environment
- Familiarity with permit coordination and warehouse/material workflows
