Institutional Relations Coordinator

Institutional Relations Coordinator – Ministry (embedded)

Host Entity: CRA

Reporting to: Institutional Relations (IR) Manager

Role

Support Institutional Relations function by coordinating stakeholder engagement that secures timely alignment, approvals, and support from national and international counterparts, under the direction of the IR Manager.

Key responsibilities

  • Stakeholder coordination: Manage day-to-day working-level engagement with assigned stakeholders (relevant government entities, ITU counterparts, diplomatic missions, and partners as applicable) to progress IR requirements and close actions.
  • Cross-government alignment: Coordinate inputs and clearances needed for event delivery (e.g., protocol, security, visas, customs facilitation, venues, transport, health and other enabling services) and ensure dependencies, owners, and timelines are clear.
  • Issue identification & escalation: Proactively identify bottlenecks, risks, and delayed approvals; consolidate facts, propose options, and escalate to the IR Manager for decision and intervention.
  • ITU interface support: Support engagements with the International entities on host-country requirements, official visits, and deliverables; ensure responses are accurate, consistent, and timely.
  • Engagement planning: Maintain stakeholder mapping, engagement calendar, relationship notes, and key interaction history to ensure continuity and consistent messaging.
  • Workstream coordination: Liaise with internal workstreams (protocol, operations, communications, security, legal, finance) to align stakeholder asks and translate commitments into actionable deliverables.
  • MoU workflow coordination: Coordinate the preparation and internal routing of MoUs and cooperation letters, ensuring timely reviews, approvals, and document version control in coordination with Legal.
  • Reporting: Produce concise weekly updates for the IR Manager/event leadership (progress, blockers, decisions required, upcoming engagements).

Communication & formal writing requirements

  • Excellent communication skills (verbal and written) with the ability to interact confidently and professionally with senior stakeholders.
  • Strong formal writing in Arabic and English, including drafting:
  • official correspondence (letters/emails),
  • briefing notes and stakeholder updates,
  • meeting readouts and decision memos,
  • invitations and coordination notes,
  • summaries for leadership review and signature.
  • Ability to convert complex inputs into clear, concise, decision-ready outputs, with correct tone, protocol awareness, and strict confidentiality.

Qualifications & experience

  • Bachelor’s degree in international relations, public policy, communications, business administration, or related field (Master’s a plus).
  • Minimum 4 years in institutional relations, stakeholder engagement, government liaison, international conference delivery, or similar roles.
  • Experience in multilateral/UN-style environments and protocol-adjacent coordination is an advantage.
  • Experience in working with the Multicultural team and working with international conferences and events

Core competencies

  • Stakeholder management and diplomacy; comfortable in high-level environments. Strong coordination discipline: planning, follow-up, action closure, and escalation. High attention to detail, judgement, and discretion.
  • Ability to work under pressure and manage multiple priorities across workstreams and time zones.

Language & tools

  • Arabic and English required (French is an advantage).
  • Proficiency with MS Office and collaboration tools (Teams/SharePoint); strong comfort with trackers and reporting (Excel).

Work conditions

  • Flexibility to work extended hours during peak periods and conference week; availability for time-sensitive stakeholder requests.

Job Type: Temporary
Contract length: 8 months

Pay: From QAR10,000.00 per month
