Insurance & Administrative Coordinator
About the Role
Seventh Direction is seeking a reliable and detail-oriented Insurance & Administrative Coordinator to support our day-to-day insurance processes and office operations.
This role focuses primarily on verification of benefits, authorizations, and maintaining accurate insurance records, along with general administrative support to keep the clinic running smoothly.
This is an excellent opportunity for someone who is organized, communicative, resourceful, and comfortable working with insurance systems and documentation. This position plays an important role in helping ensure clients receive services and that their treatment is properly coordinated and covered.
Key Responsibilities
1. Insurance Verification & Authorizations
- Complete verification of benefits (VOB) for new and existing clients
- Submit and track prior authorizations with insurance providers and state programs
- Prepare and organize documentation required for insurance approvals
- Communicate with insurance companies to confirm coverage and help resolve basic issues
- Maintain accurate and up-to-date insurance information in the EHR
- Ensure all client files are complete, accurate, and insurance-compliant
2. Client Coordination & Support
- Help ensure clients are able to access and continue treatment without interruptions
- Assist with insurance coordination and help clients understand coverage when needed
- Support communication between clients, families, and insurance providers
- Work toward solutions that help ensure services are covered and accounts stay in good standing
3. Billing Support
- Assist with billing for state-funded programs (training will be provided)
- Support internal tracking of claims and payments
- Help identify and flag issues for review
- Work with the third-party billing company/vendor to resolve claim issues and denials, support authorization-related questions, and help ensure billing is processed timely and accurately
- Coordinate with internal staff and billing vendor to keep processes aligned and on track
4. Administrative & Documentation Support
- Assist with:
- Scanning, uploading, and organizing client documentation
- Reviewing files for completeness and accuracy
- Support front office workflows as needed
- Help maintain organized and audit-ready records
5. Office & Operational Support
- Help maintain a well-organized, functional, and professional office environment
- Monitor and coordinate day-to-day office needs, including:
- Supplies inventory and ordering
- Basic facility upkeep (lighting, workspace conditions, general functionality)
- Ensuring office equipment and technology are working properly
- Communicate with vendors or internal teams to address maintenance or equipment needs
6. Team Collaboration
- Work closely with front desk, clinical, and peer support teams
- Communicate clearly regarding client insurance status and documentation needs
- Contribute to a positive, team-oriented work environment
What We’re Looking ForRequired
- 1–3 years of experience in:
- Medical, dental or mental health clinic/ office, insurance verification, or administrative support
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks and stay organized
- Comfortable communicating with insurance companies and clients
- Resourceful and solution-oriented mindset
- Ability to work well within a team
Preferred
- Experience with Medicaid or behavioral health services
- Familiarity with insurance authorizations or eligibility checks

Pay: $20.00 - $22.00 per hour
