We are the premiere oral and maxillofacial surgery practice in North Alabama. We provide our patients the most advanced diagnostic treatment available encompassing the full scope of oral and maxillofacial surgery. We are seeking a dedicated and organized Insurance Coordinator to join our team in a fast-paced dental clinic environment. The ideal candidate will be the first point of contact for patients, providing exceptional customer service while managing administrative tasks efficiently. This role requires strong communication skills, attention to detail, and the ability to handle multiple responsibilities simultaneously.

Job Responsibilities:

Insurance Verification

  • Confirm patients’ dental insurance coverage before appointments
  • Check eligibility, benefits, deductibles, waiting periods, and limitations

Claims Processing

  • Prepare and submit insurance claims accurately and on time
  • Attach necessary documentation (X-rays, narratives, treatment codes)
  • Track claim status and follow up on unpaid or delayed claims

Patient Communication

  • Explain insurance benefits and estimated out-of-pocket costs
  • Answer patient questions about coverage, claims, and billing
  • Help patients understand treatment plans in financial terms

Billing & Payment Coordination

  • Calculate co-pays and collect payments at time of service
  • Set up payment plans when needed
  • Post insurance payments and reconcile accounts

Appeals & Problem Solving

  • Handle denied or rejected claims by reviewing and correcting errors
  • Submit appeals with proper documentation
  • Communicate with insurance companies to resolve discrepancies

Coordination with Dental Team

  • Work closely with surgeon and nurse to ensure correct procedure coding
  • Ensure treatment plans align with insurance coverage when possible

Administrative Duties

  • Maintain accurate patient insurance records
  • Stay updated on insurance policies and coding changes (e.g., CDT codes)
  • Use dental practice management software

Skills Needed

  • Strong attention to detail
  • Knowledge of dental terminology and insurance coding
  • Communication and customer service skills
  • Organization and multitasking
  • Problem-solving and persistence with claim follow-ups

Optional/Advanced Duties (depending on office)

  • Pre-authorizations for major procedures
  • Training front desk staff on insurance processes
  • Managing accounts receivable related to insurance

Job Type: Full-time
