Job Overview
We are seeking a dynamic and highly organized Insurance Secretary to join our team! This vital role combines administrative excellence with exceptional customer service, ensuring smooth daily operations within our insurance office. As an Insurance Secretary, you will serve as the first point of contact for clients and visitors, manage comprehensive office tasks, and support insurance agents with clerical duties. Your energetic approach and attention to detail will help us deliver outstanding service while maintaining efficient office workflows.

Duties

  • Greet clients and visitors at the front desk with professionalism and warmth, providing excellent customer support
  • Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
  • Handle data entry and maintain detailed records using computer literacy skills, including Microsoft Office, Google Workspace, and QuickBooks
  • Organize and file insurance documents, claims, and client information efficiently through meticulous filing systems
  • Assist with calendar management for appointments, meetings, and deadlines to ensure smooth scheduling
  • Support office management tasks such as bookkeeping, invoicing, and basic bookkeeping using QuickBooks or similar software
  • Proofread correspondence, forms, and reports to ensure accuracy before distribution or submission
  • Maintain a clean and organized front desk area while managing office supplies and inventory

Experience

  • Proven office experience in a fast-paced environment, preferably within insurance or medical reception settings
  • Strong clerical skills including data entry, filing, proofreading, and document management
  • Excellent organizational skills with the ability to multitask effectively in a busy office setting
  • Demonstrated customer service expertise with a friendly demeanor and professional phone etiquette
  • Proficiency in computer skills including Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar), and QuickBooks for bookkeeping tasks
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Experience as a dental or medical receptionist or personal assistant is a plus but not required
