POSITION SUMMARY:
The Intake & Operations Specialist plays a key role in ensuring clients at Caridad Center receive timely access to essential resources and supportive services. This position is responsible for conducting intake assessments to identify individual needs, connecting clients with appropriate programs, and maintaining accurate records of services provided. In addition to client-facing responsibilities, the Specialist oversees operational tasks such as organizing the pantry, transporting and managing supplies, and supporting the logistics of program delivery. By combining intake coordination with hands-on operational support, this role ensures that Caridad Center’s social services are delivered efficiently, effectively, and with compassion.
ESSENTIAL FUNCTIONS & RESPONSIBILITIES:
Client Intake & Social Services Support
- Conduct initial intake interviews with clients to gather personal, demographic, and needs-based information.
- Assess client eligibility for services and make appropriate referrals within the organization and to external partners.
- Maintain accurate and confidential records of client interactions, ensuring compliance with organizational and regulatory standards.
- Provide compassionate support, helping clients navigate available resources and programs.
- Assist with coordinating appointments, follow-ups, and service linkages for clients.
Program & Operations Support
- Organize and maintain the pantry, ensuring items are properly stocked, labeled, and rotated.
- Manage and record the movement of supplies and donations, including loading/unloading, lifting, and transporting items between storage areas and program spaces.
- Drive the organizational van to transport items to and from storage facilities or program sites as needed.
- Assist in setting up program spaces for events, workshops, or client services.
- Monitor and report inventory needs, coordinating with leadership to restock or request donations.
- Assist and collaborate with projects, outreach, and community events.
Administrative & Team Collaboration
- Support data entry and reporting requirements related to social services programming.
- Collaborate with social services staff to ensure smooth client flow and timely service delivery.
- Assist with volunteer coordination for pantry operations and donation drives.
- Participate in team meetings, trainings, and cross-departmental initiatives as assigned.
- Uphold the mission and values of the organization by fostering a welcoming and supportive environment for clients and colleagues.
- Other duties as assigned.
QUALIFICATIONS:
- Bilingual (Haitian Creole/English) Required.
- Trilingual (Haitian Creole/Spanish/English) Preferred.
- Ability to lift up to 50 lbs required.
- 2+ years of experience in an intake coordinator or similar role required.
- 2+ years of experience with case management electronic systems or electronic medical records systems.
- Must possess a valid driver’s license and maintain a clean driving record.
- Post-secondary education in Social Work or other related fields preferred.
- Intermediate knowledge of Microsoft Office (Word, Excel, and PowerPoint)
- Excellent interpersonal, organizational, and program management skills.
- Ability to travel within Palm Beach County as needed.
- Ability to lift up to 50 lbs required.
- Excellent communication and collaboration skills.
- Must be experienced in working with case management electronic systems and electronic medical records.
Job Type: Full-time
Pay: $19.00 per hour
