Intake Coordinator 2ND SHIFT

POSITION SUMMARY

The Intake Coordinator is responsible for the on-site intake and check-in process for new clients following admission approval. This role ensures the accurate completion, coordination, and auditing of all required intake documentation, including biopsychosocial assessments, insurance coordination of benefits (COB), and compliance-related documentation. The Intake Coordinator works closely with clinical, nursing, utilization review, and billing teams to ensure timely, accurate, and compliant client onboarding.

ESSENTIAL DUTIES AND RESPONSIBILITIES.

  • Facilitate the on-site intake and check-in process for newly admitted clients.
  • Complete, coordinate, and ensure timely completion of biopsychosocial assessments in accordance with agency policy and regulatory requirements.
  • Review all intake documentation with clients and obtain required signatures, consents, and releases.
  • Complete urinalysis (UA) screening at intake in accordance with agency policy and confidentiality standards.
  • Conduct body searches when clinically or operationally indicated, following agency policy and safety procedures.
  • Inventory, document, and log client personal belongings at intake; secure items according to policy.
  • Confirm and document insurance information at intake, including coordination of benefits (COB).
  • Ensure all intake, consent, clinical, and insurance documentation is accurately completed and uploaded into the electronic health record (EHR).
  • Conduct daily audits of intake documentation to ensure accuracy, completeness, and compliance.
  • Identify documentation deficiencies and follow up to ensure timely correction.
  • Maintain compliant intake records in accordance with HIPAA, confidentiality, and licensing requirements.
  • Communicate intake completion status to clinical and nursing teams as appropriate.
  • Participate in quality improvement activities related to intake documentation and processes.
  • Assist with internal and external audits, monitoring reviews, and corrective action plans as assigned.

QUALIFICATIONS, SKILLS, AND ABILITIES

  • Bachelor’s degree required in Behavioral Health, Social Work, Psychology, Human Services, or a related field.
  • Minimum of 1–2 years of experience in behavioral health intake, clinical documentation, or related role preferred.
  • Experience completing or coordinating biopsychosocial assessments.
  • Knowledge of intake documentation standards, consent requirements, and client rights.
  • Understanding of UA collection procedures and property logging requirements.
  • Understanding of insurance documentation and coordination of benefits (COB).
  • Proficiency with electronic health record (EHR) systems.
  • Strong attention to detail and documentation auditing skills.
  • Ability to follow safety procedures and agency policies consistently.
  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks in a fast-paced clinical environment.
  • Ability to handle sensitive and confidential information professionally.
