This Part-Time position plays a critical role in managing the intake and referral process, ensuring clients are connected to services efficiently, accurately, and in compliance with program requirements.

About the Job

The Intake Coordinator is responsible for managing the full intake and referral lifecycle for clients receiving services through LACDMH programs. This role serves as the first point of contact for clients, referral sources, and internal teams, ensuring all referrals are processed accurately, eligibility is verified, and cases are assigned in a timely manner.

The ideal candidate will have experience in social services intake, strong attention to detail, and the ability to manage multiple priorities while maintaining compliance with documentation standards.

Specific Job Duties

  • Receive, review, and process incoming referrals.
  • Verify completeness and accuracy of referral documentation.
  • Enter referrals into required systems and databases.
  • Assign cases to appropriate clinical or program staff.
  • Prepare and organize intake packets.
  • Serve as the initial point of contact for clients and referral sources.
  • Communicate program acceptance, waitlist status, or referral updates.
  • Coordinate and schedule initial client appointments.
  • Provide program information and respond to inquiries in a timely manner.
  • Ensure all intake documentation meets LACDMH and organizational standards.
  • Maintain accurate and up-to-date client records in EHR systems.
  • Monitor timelines to ensure timely completion of intake processes.
  • Track and follow up on missing or incomplete documentation.
  • Collaborate with the Quality Assurance team to ensure compliance.
  • Assist in tracking intake metrics and performance indicators.
  • Support internal and external audits as needed.
  • Maintain intake logs and tracking systems.
  • Generate reports related to referrals and intake activity.
  • Participate in team meetings and cross-functional coordination.
  • Perform other administrative duties as needed to support program operations.

Job Requirements

  • Bachelor’s degree in Social Services or a related field required.
  • Minimum of 2+ years of relevant experience in DMH, DCFS, or similar systems (intake experience preferred).
  • Bilingual in Spanish required.
  • Knowledge of HIPAA and client confidentiality standards.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and EHR systems (Exym preferred).
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Knowledge of behavioral health intake workflows and referral processes.
  • High level of attention to detail and accuracy in documentation.
  • Strong written and verbal communication skills.
  • Valid driver’s license and current car insurance required.

Pay: $25.00 - $29.00 per hour
