The Intake Coordinator & Administrative Receptionist supports the organization through professional, compassionate, and compliant service delivery.
Communicate effectively with staff and families
Coordinate and initiate the client intake process, ensuring all required documentation is collected and completed
Conduct weekly audits of client files to ensure accuracy, organization, and compliance
Facilitate enrollment and provide eligible clients access to EMR systems
Maintain and update internal tracking systems related to client intake progress
Verify that all required intake documentation is received prior to forwarding cases to the appropriate department
Enforce agency policies and procedures for clients entering the center
Monitor and manage treatment materials, office supplies, and inventory needs
Oversee internal phone and email communications, directing inquiries to the appropriate department
Prepare, organize, and submit weekly reports in a timely manner
Maintain and coordinate scheduling for center rental and shared spaces
Track and maintain employee acknowledgements and required documentation
Ensure all client and employee records are maintained in compliance with HIPAA and agency standards
Perform additional duties as assigned
Relevant education and/or experience preferred
Strong communication and organizational skills
Ability to work collaboratively
