About the Role

Mantro Mobile Imaging is hiring a full-time Intake & Dispatch Coordinator to support referral intake, scheduling, phone communication, and real-time workflow coordination within our regulated mobile diagnostic imaging program.


This is a fast-paced, high-volume healthcare environment. Referrals, phone calls, and scheduling requests move continuously throughout the day. Multiple active cases must be managed simultaneously without sacrificing accuracy or professionalism.


This role serves as a central coordination point for daily imaging operations. Success requires urgency, organization, professional communication skills, and the ability to maintain control of active workflows.


This position is best suited for individuals who perform well in structured, high-volume settings and are comfortable being accountable for active case management.


Key Responsibilities

  • Answer and manage high-volume inbound phone calls from providers, facilities, and patients
  • Professionally communicate with ordering providers regarding orders, updates, and follow-ups
  • Provide clear, courteous communication to patients and facilities regarding scheduling
  • Manage a high daily volume of imaging referrals from intake through completion
  • Review orders for completeness, required documentation, and priority level
  • Triage and prioritize STAT vs. routine referrals appropriately
  • Coordinate scheduling with patients, facilities, providers, and field technologists
  • Monitor exam progress, imaging uploads, and report turnaround
  • Ensure timely delivery of final radiology reports to ordering providers
  • Escalate delays, STAT findings, or workflow concerns appropriately
  • Maintain documentation that is clear, accurate, professional, and audit-ready
  • Actively manage inboxes and task queues to prevent backlog

Performance Expectations (KPIs)

The Intake & Dispatch Coordinator is expected to:

  • Maintain professional phone communication at all times
  • Process incoming referrals same-day during business hours
  • Prevent backlog in intake queues and shared inboxes
  • Prioritize STAT referrals appropriately and escalate when needed
  • Maintain complete documentation on 100% of active referrals
  • Support timely report delivery aligned with company turnaround standards
  • Demonstrate consistent attendance and reliability

Performance is measured by workflow accuracy, responsiveness, communication quality, and ability to prevent delays.


Qualifications

  • 1–3 years of medical intake, scheduling, dispatch, or healthcare administrative experience
  • Experience handling high call volumes in a medical setting preferred
  • Experience in radiology, imaging, or regulated healthcare environments a plus
  • Strong multitasking and organizational skills
  • High attention to detail
  • Professional written and verbal communication skills
  • Comfortable working in a time-sensitive, high-volume setting
  • Dependable and consistent
