Position Overview
Mala Child & Family Institute is seeking a knowledgeable and compassionate Intake Manager to lead and oversee our intake operations. This role plays a vital part in ensuring timely access to care, supporting clinical decision-making, and creating a seamless experience for children and families entering services.
The Intake Manager will work closely with licensed clinicians, provide oversight of the intake team, and help ensure appropriate clinical placement based on presenting needs, acuity, and service availability.
Key Responsibilities
Clinical Intake & Assessment Support
- Oversee and support the intake process, including initial screenings and coordination of comprehensive assessments
- Collaborate with clinical staff to determine the appropriate level of care and service recommendations
- Review referral information to ensure appropriate clinical matching and prioritization based on need and risk
Team Leadership & Supervision
- Supervise intake coordinators and support staff, providing ongoing training and guidance
- Ensure staff follow clinical protocols, documentation standards, and ethical guidelines
- Partner with clinical leadership to maintain quality and consistency in intake practices
Care Coordination & Clinical Collaboration
- Serve as a liaison between clients, families, and clinical providers
- Coordinate assignments of new clients to clinicians based on specialty, availability, and client needs
- Participate in case consultations and team meetings as needed
Compliance & Documentation
- Ensure accurate, timely, and clinically appropriate documentation
- Maintain compliance with HIPAA, licensing standards, and payer requirements
- Monitor intake data, including referral trends, wait times, and service access
Client Experience
- Ensure a welcoming, trauma-informed, and culturally responsive intake experience
- Address client concerns and barriers to accessing care
Qualifications
- Bachelor’s degree; preferred (Social Work, Counseling, Psychology, or related field)
- 3+ years of experience in behavioral health intake, admissions, or clinical coordination
- Strong understanding of mental health diagnoses, levels of care, and treatment modalities
- Previous supervisory or leadership experience preferred
- Excellent organizational, communication, and clinical judgment skills
Preferred Qualifications
- Experience working with children, adolescents, and families
- Familiarity with insurance verification, prior authorizations, and medical necessity criteria
