The Intake Coordinator is responsible for managing the intake, screening, and enrollment process for guests accessing services at a day center and low-barrier congregate shelter. This role serves as a primary point of entry, ensuring that all intakes are completed accurately, efficiently, and in alignment with program eligibility, capacity, and safety protocols. This position plays a critical role in creating a welcoming and organized environment, supporting access to services, and maintaining accurate documentation to support high-quality care and coordination. We refer to the unhoused adults we serve as “guests”.
Key Responsibilities
Intake & Screening
- Conduct intakes and screenings in a respectful, trauma-informed manner
- Collect and verify demographic, eligibility, and program-specific information
- Determine appropriate placement based on eligibility, capacity, and guest needs
- Explain program expectations, schedules, services, and guidelines
- Obtain required consents, releases, and documentation
Guest Access & Flow Coordination
- Manage daily intake flow to ensure fair and orderly access to services
- Coordinate admissions, waitlists, and referrals
- Serve as a primary point of contact for guests seeking services
- Communicate decisions clearly, respectfully, and consistently
Documentation & Data Management
- Enter and maintain accurate intake data in HMIS and/or other systems
- Ensure all documentation is complete, organized, and compliant with standards
- Maintain confidentiality in accordance with HIPAA and agency policies
- Create guest identification cards as needed
- Participate in data quality reviews and audits
Collaboration & Referrals
- Coordinate with Guest Services, Case Management, Peer Support, Clinical, and Operations teams
- Provide referrals to internal programs or external resources when needed
- Support warm handoffs to case management and other services
Safety & Program Standards
- Identify and report safety concerns or behavioral risks
- Follow established protocols for escalation and incident response
- Maintain professional boundaries and model respectful communication
- Support a calm, safe, and welcoming intake environment
Professional Responsibilities
- Participate in team meetings and trainings
- Follow all organizational policies, procedures, and ethical standards
- Communicate effectively with other staff, case management and leadership team
- Other duties as assigned
Required Qualifications
- High school diploma or equivalent
- At least one (1) year of experience in a human services field
- Strong interpersonal, communication, and organizational skills
- Ability to work respectfully with adults experiencing homelessness
- Basic computer and data entry skills
- Ability to manage high-volume, fast-paced environments
- HMIS certification
- Requires sitting, standing, and moving throughout the facility

- Must maintain a drug-free status (including THC) and be willing to submit to pre-employment and random drug and alcohol screenings in accordance with organizational policy and applicable law

Benefits
- Salary dependent on experience, beginning at $25/hour
- Paid time off plan begins at 2-weeks (10 days) per year.
- Sick time is accrued at a rate of 1 hour per every 30 hours worked
