What we’re looking for

We’re hiring an Intake Specialist to join our growing family law practice. The Intake Specialist will complete phone interviews with potential clients to gather case details. As the first point of contact for potential clients, the Intake Specialist is responsible for documenting potential client communications, connecting potential clients with the appropriate attorney, and following up as needed. As part of the operations team, Intake Specialists also help with legal and administrative tasks at the firm. The ideal candidate for this position will be an excellent communicator with customer service skills and motivation to grow in a team setting.

What you’ll be doing

• Conduct phone interviews with potential clients;
• Gather and organize client information and documents needed for initial attorney consultation;
• Coordinate successful virtual and in-person meetings for potential clients;
• Create and maintain electronic client records;
• Maintain potential client list;
• Draft and follow-up on client representation agreements and other communications;
• Handle incoming potential client phone calls and electronic contact during regular business hours;
• Rotate with teammates to respond to contacts outside of business hours;
• Office administrative projects as assigned;
• Cover front desk, legal assistants, and general office support as needed.

Skills Required

• Previous experience in customer service, telemarketing, or working as a receptionist;
• Excellent speaking and listening skills;
• Ability to quickly and accurately type on a keyboard and succinctly document conversations;
• Ability to manage potential client cases as they move through stages of qualification and payment;
• Data entry and extensive office program experience;
• Interest and experience in customer relationship management software and spreadsheets;
