Intake Specialist/Receptionist

Description:

We are searching for an energetic, upbeat, attentive Intake Specialist/Receptionist who will serve as the first point of contact for potential clients. You'll help create a welcoming and professional experience that builds trust and confidence from the very first interaction. As an integral member of our team, our Intake Specialist/Receptionist will answer inbound calls and "sell" our firm to potential new clients. You’ll provide a vital service as it is the initial introduction of our firm.

By listening with empathy and gathering accurate information, this role facilitates a smooth transition from inquiry to engagement. The goal is to establish a strong foundation for long-lasting relationships while determining whether our legal services are the right fit for their needs.

You will work closely with our managing partner and Director of Operations to on-board new clients. Other tasks might include assisting other team members on small projects as needed when there is downtime. No two days are alike!

We have a small but very collaborative team which includes team builders, celebrating birthdays and workaversaries, community service projects and team lunches from time to time.

Responsibilities:

  • Greet and engage with potential clients over the phone.
  • Collect and accurately record key client information.
  • Assess client needs and determine suitability for our legal services.
  • Set appointments for potential clients.
  • Follow up with potential clients throughout the Intake process to answer any questions or address any concerns.
  • Communicate with empathy, professionalism, and discretion.
  • Maintain organized and detailed records of all interactions.
  • Collaborate with team members to ensure smooth intake processes.
  • Must be energetic, patient, professional, reliable, able to multi-task, have great attention to detail and a strong memory.

Qualifications:

  • Professional attitude and appearance.
  • Must be able to speak clearly and listen attentively while taking notes during phone calls.
  • A quick thinker with strong interpersonal skills
  • Strong communication skills, both written and verbal.
  • Excellent organizational skills, attention to detail and strong memory.
  • Ability to successfully manage pipeline of potential clients from initial call through engagement/on-boarding.
  • Dedicated to following up with potential client(s) for maximum results via phone and/or email.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong computer skills and proficiency with MS Office applications.
  • Must have a high school diploma or equivalent.

Compensation

$40,000-$50,000, based on previous experience.
