Job Title: Wellness Operations Assistant

Job Overview:We are seeking a proactive Clinic Assistant. This role is designed for a detail-oriented professional who can balance daily healthcare operations with high-level support for billing operations, personnel data management, and clinical communication.

Key Responsibilities

You will operate at the intersection of our leadership team, providing specialized support across three key healthcare pillars:

• Denial Management: Review and resolve billing tasks related to insurance claim denials assigned to you by the billing specialist.
• Clinical Admin: Assist in the management of operations as an aid to the Practice Director and Director of People and Clinical Design.
• Vitals & Check-ins: Perform routine clinical check-ins, including taking blood pressure and heart rate for patients undergoing Spravato (Esketamine) and IV Infusion therapies.
• Treatment Room Readiness: Ensure medical suites are prepped with the necessary wellness tech (Red Light, Neuropod, etc.) and maintain a sterile, welcoming environment.
• Safety Monitoring: Assist the nurse in monitoring patients during treatment windows to ensure safety and protocol compliance.
• Communication Overflow: Provide backup support for phone lines and live chat during high-volume periods.

Qualifications

• Professional Background:This role is ideal for healthcare or service based professionals looking to apply their clinical or interpersonal and organizational skills and knowledge to a systems-oriented environment.
• Experience:1+ years in a healthcare, wellness, or professional office setting. Familiarity with medical processes or psychotherapy environments is a plus.
• Tech-Forward:High proficiency in technology, apps and software, and ability to manage projects and tasks.
• Mindset:You must be a "systems-thinker" who thrives on organization and open to learn and complete tasks that are at the foundation of the practice.

Job Type: Full-time

Pay: $17.00 - $19.00 per hour

Expected hours: 30 per week
