Intellectual Property Administrative Assistant

Full-time Intellectual Property Administrative Assistant sought by Rutan & Tucker, LLP, one of California’s largest full-service law firms. This position will be in our Palo Alto, California office. This position provides a crucial function to ensuring that all patent prosecution functions are performed including electronic filing of patent documents with the US PTO, maintaining client files in iManage and in shared folders, email correspondence with clients, collecting signatures from inventors and clients on patent forms as needed, Office Action prep, understanding the docketing system, maintain a client databases of client files and their patent portfolio, etc. This is a full-time, on site, non-exempt position.

Position Summary

This position provides a crucial function to ensuring that all patent prosecution functions are performed including electronic filing of patent documents with the US PTO, maintaining client files in iManage and in shared folders, email correspondence with clients, collecting signatures from inventors, administrative assistance to the attorney in opening new files, invoices, etc. This is a highly collaborative team environment.

Responsibilities and Skills:

  • 3-8 years of patent assistant experience is preferred.
  • Experience in filing electronic documents with the US Patent and Trademark office.
  • Punctual and reliable in attendance.
  • Excellent Attention to detail skills couple with excellent self checking techniques to catch and eliminate errors on, for example, filled out paperwork, with filings, etc. .
  • Familiar with both foreign and domestic patent prosecution processes.
  • Understand the importance of deadlines and make sure that no deadlines are ever missed.
  • Excellent Project tracking skills/ keeping track of their own projects to do list.
  • Demonstrate a positive attitude and be approachable in a work environment that always has a lot to do.
  • Excellent communication skills, both written and verbal.
  • Duties, responsibilities, and assignments may change to meet the needs of the Firm.

Work Environment:

This position will require five days in the office and the required hours for this position are 8:30 am – 5:00 pm for the initial 6-8 weeks of training and then the work hours can shift to a four days in the office and one day a week work from home.

Education and Experience

  • At least an Associate’s Degree is preferred

Administrative Assistant Salary Range:

  • Annual Salary Range: $85,000 – $100,000 depending on experience
