Interior Design Administrative & Procurement Coordinator (mostly remote)

We are seeking a highly organized, proactive Interior Design Operations & Procurement Coordinator (Remote) to support a boutique luxury interior design studio. This role combines administrative leadership, procurement management, and client coordination across multiple residential projects.

The ideal candidate understands the interior design process and can anticipate next steps without constant direction. You should be comfortable managing timelines, vendor communication, documentation, and client-facing correspondence with professionalism and clarity.

The work is very flexible and mostly remote except occasional need to be present for client's presentations meetings/ job-site mostly in the Newport Beach.

Responsibilities

  • Oversee procurement activities including sourcing materials, furnishings, finishes, and fixtures in alignment with project specifications and budgets.
  • Coordinate with suppliers and vendors to request quotes, place orders, track production, and manage delivery schedules.
  • Negotiate pricing and terms where appropriate.
  • Manage ordered inventory and coordinate with warehouse and receiving teams.
  • Communicate with clients regarding selections, timelines, and project updates.
  • Prepare proposals, invoices, and procurement documentation.
  • Order and track samples.
  • Manage the principal’s calendar and meeting coordination.
  • Maintain and organize all digital files, folders, procurement logs, and project documentation in a structured and consistent system.
  • Proactively identify upcoming needs, deadlines, and potential issues before they arise.

Skills & Qualifications

  • Prior experience in interior design & product procurement is required.
  • Strong understanding of the interior design project lifecycle.
  • Ability to think ahead and anticipate project needs.
  • Excellent organizational and documentation skills.
  • Strong communication skills with clients and vendors.
  • Comfortable managing multiple projects simultaneously.
  • Experience with invoicing/proposals systems (Houzz Pro or similar preferred).
  • Bilingual preferred.

Pay: $24.00 - $28.00 per hour

Work Location: Hybrid remote in Newport Beach, CA 92660
