About the Role
My Design Assistant (MDA) is a backend procurement and operations support company serving interior designers. We manage the full procurement process on behalf of our designer clients, from placing orders and managing vendor relationships to tracking timelines and reporting project status.
We are looking for a Procurement Manager who is exceptionally organized, self-directed, and experienced in the full lifecycle of interior design procurement. This person takes complete ownership of their accounts, communicates professionally with clients and vendors alike, and operates with minimal supervision.
Availability Requirement
While this is a 1099 contract position with no fixed hourly schedule, you must be available and responsive during standard business hours Monday–Friday (9am–5pm in your time zone). Interior design procurement moves quickly, vendors, designers, and clients need timely responses during the business day. Candidates who cannot commit to daytime availability will not be a fit for this role.
What You'll Own
- Full end-to-end procurement management for assigned interior design accounts
- Placing custom and trade orders directly with vendors on behalf of designer clients
- Building and managing proposals based on confirmed designer selections
- Verifying pricing, markups, invoices, and purchase orders against original proposals
- Maintaining thorough documentation of all vendor communications, quotes, and lead times
- Communicating directly with interior designer clients, providing regular status reports, managing expectations, and escalating issues appropriately
- Managing product timelines and proactively following up on delays
- Tracking and managing returns, damaged items, and order discrepancies
- Building and nurturing vendor relationships; maintaining records of vendor performance
- Collaborating with the MDA team (Communications Manager, Account Manager) within our project management platform
Required Qualifications
- Degree in Interior Design — required; applications without this will not be considered
- Proven procurement experience working directly within or for an interior design firm — required
- Direct experience placing custom orders with interior design trade vendors (furniture, lighting, textiles, FF&E)
- Strong client communication skills, written and verbal; you will communicate directly with designer clients
- Demonstrated ability to manage multiple projects simultaneously with full ownership
- Exceptional organizational skills, you must be able to track details across multiple accounts without things falling through the cracks
- Experience reviewing and managing purchase orders, proposals, and invoices
- Must be available and responsive during standard business hours (M–F)
- Comfortable working independently in a remote environment with minimal hand-holding
Preferred
- Familiarity with Teamwork, Materio, or similar procurement/project management tools
- Experience working with a procurement support or virtual assistant service

- You need significant oversight or prefer to wait for direction rather than take initiative
- You do not have an interior design degree
