Position Summary
Responsible for managing the company’s global shipping operations, international transportation coordination, and export/import logistics execution. This role oversees the end-to-end movement of goods across international markets while ensuring shipments are processed accurately, efficiently, and in compliance with company policies and regulatory requirements.
The position manages freight providers, international shipment documentation, and logistics workflows to support global sales operations. Due to current system limitations in the warehouse management system (WMS), the role also requires strong proficiency in Microsoft Excel for preparation of international commercial invoices and shipping documentation
Works closely with Sales, Warehouse Operations, Finance, Trade Compliance, and external logistics partners to ensure timely delivery of products to customers worldwide.
Essential Functions & Responsibilities
Global Logistics Operations
- Manage daily international logistics operations for inbound and outbound shipments.
- Coordinate global shipments via air, ocean, and express courier providers.
- Ensure shipments move efficiently, cost-effectively, and within required delivery timelines.
- Monitor shipment status and proactively resolve transportation issues or delays.
International Shipping Documentation
- Prepare and review international shipping documentation including: Commercial invoices, Packing lists, Bills of lading / air waybills, Certificates of origin, Shipper’s letters of instruction (SLI)
- Ensure documentation accuracy prior to shipment release to freight providers.
- Coordinate documentation requirements with freight forwarders and customs brokers.
- Excel-Based International Invoice Preparation
- Because the company’s WMS does not fully support international invoice generation, the International Logistics Manager will prepare commercial invoices and shipment documentation using Microsoft Excel templates.
- Generate commercial invoices for international shipments using structured Excel templates.
- Ensure all invoice elements are accurate and complete, including: Product descriptions, Quantities, Unit values and extended totals, Country of origin, Currency and totals
Incoterms and shipment terms
- Maintain and improve Excel templates used for international shipping documentation.
- Perform shipment value calculations, freight allocations, and document formatting in Excel.
- Ensure invoice data aligns with order records and shipment contents.
Freight Forwarder & Carrier Management
- Manage relationships with freight forwarders, express couriers, and logistics service providers.
- Coordinate shipment bookings and pickup schedules.
- Monitor carrier performance and resolve transportation issues.
- Evaluate freight options to ensure cost efficiency and service reliability.
- Import & Export Logistics Coordination
- Coordinate with customs brokers to facilitate smooth customs clearance.
- Provide brokers with required shipment documentation.
- Monitor international shipments through delivery and resolve clearance delays.
Cross-Functional Collaboration
- Work closely with internal departments including: Sales, Warehouse Operations, Finance, Trade Compliance
- Coordinate shipment readiness with warehouse teams.
- Provide logistics support for international customer orders.
Incoterms & International Trade Execution
- Support international transactions structured under various Incoterms, including: EXW, FCA, CPT, CIP, DAP, DDP
- Ensure logistics execution aligns with the responsibilities defined in each shipment term.
Skills & Qualifications
- Minimum 5 years of experience in international logistics, supply chain, or transportation management.
- Experience coordinating global shipments and freight providers.
- Experience working with customs brokers and freight forwarders.
Technical Skills
- Strong proficiency in Microsoft Office, particularly Microsoft Excel, including: Advanced Excel formulas and calculations, Multi-sheet data management, Invoice and documentation template management, Data validation and structured formatting, Shipment reporting and tracking
- Excel will serve as a primary operational tool for preparing international commercial invoices and logistics documentation.
- Strong understanding of international shipping processes
- Working knowledge of Incoterms
- Familiarity with customs clearance procedures
- Strong organizational and problem-solving skills
- Ability to manage multiple shipments simultaneously in a fast-paced environment
