Job Title: HR & Admin Coordinator – Graphic Design Studio​

Summary:
The HR & Admin Coordinator supports day‑to‑day HR activities and office administration for a creative design team, including recruitment, employee records, basic HR processes, and smooth running of the studio and office.​

Key responsibilities HR responsibilities

  • Assist in end‑to‑end recruitment for designers, interns, and office staff (posting jobs, screening CVs, scheduling interviews, and following up with candidates).​
  • Maintain accurate employee records (attendance, leave, personal files, contracts, confirmations, and exit documents).​
  • Coordinate onboarding and induction for new joiners (offer letters, documents, orientation schedule, and introduction to teams and tools).​
  • Support payroll inputs (attendance/leave data, overtime approvals, variable pay details) and share with accounts/HR.​
  • Handle employee queries related to HR policies, leave, attendance, and basic benefits and escalate when needed.​
  • Help organize performance review cycles and feedback forms and maintain related documentation.​
  • Assist in planning small employee engagement activities (team outings, birthdays, internal events, and festival celebrations).​

Admin & office coordination

  • Manage front‑office and general communication (calls, visitors, courier, basic email responses).​
  • Coordinate meeting schedules, client visits, reviews and internal review calendars for design teams and management.​
  • Maintain office supplies, pantry, stationery, and basic studio assets (checking stock, placing orders, vendor follow‑up).​
  • Maintain basic documentation: agreements, vendor bills, purchase orders, studio records, and digital filing.​
  • Support facility and IT coordination by raising service requests and following up on issues affecting the studio.​
  • Help arrange travel and logistics for client meetings, shoots, events or out‑station work when required.​

Required skills & qualifications

  • Education: Graduate in HR / Business Administration / Commerce / related field preferred.​
  • Experience: 1–3 years in HR / admin / office coordination; experience in a creative/IT/design environment is an added advantage.​
  • Strong communication skills in English (and local language) – written and verbal.​
  • Good knowledge of MS Office / Google Workspace (Sheets, Docs, Slides, Gmail, Calendar).​
  • Basic understanding of HR processes (recruitment, onboarding, attendance, HR documentation).​
  • Excellent organization and time‑management skills; ability to handle multiple tasks for different design projects.​
  • Positive, people‑oriented attitude and ability to coordinate with designers, management, clients, and vendors.​

Nice‑to‑have (for a design company)

  • Interest or background in graphic design / visual communication so you can understand design team workflows.​
  • Experience supporting creative teams, agencies, studios, or media companies.​
  • Comfort using project management or collaboration tools (e.g., Trello, Asana, Notion, Slack, Figma access for coordination).

Job Types: Full-time, Internship
Contract length: 6 months

Pay: ₹2,000.00 - ₹3,000.00 per month
