Description

An Interventional Radiology Clinic Coordinator is responsible for retrieving and scheduling radiology exams for patient and verifying and coordinating insurance benefits. Answering and routing incoming calls and faxes from patients and referring physician practices in a timely manner is a priority of an Interventional Radiology Clinic Coordinator while maintaining the ability to prioritize effectively and efficiently.

· Facilitate the patient experience by answering and routing incoming phone calls and messages, communicating insurance benefits and patient financial responsibility while complying with all HIPAA regulations, coordinating referrals from the Interventional Radiology clinic, mailing new patient forms and monitoring exam schedules to ensure that approved procedures are performed and necessary follow-up appointments are scheduled. Utilize AIDET Principles in all patient and provider encounters.

· Performing scheduling and insurance coordination duties including processing incoming radiology orders, entering patient demographics, scheduling new patient consultations and follow-up appointments, coordinating pre-certification for imaging studies, process insurance denials, Completing insurance and FMLA forms to obtain physician signatures, and scheduling peer-to-peer reviews.

· Document the patient’s exam through data entry, report and lab retrieval, scanning and recording the exam details in the electronic medical record system.

· Perform computer operations including email, a fax server program, and electronic medical record system. Utilize phone, fax, copier and scanner.

· Maintain professional and technical knowledge of medical terminology and radiology protocols.

· Must have an understanding of ICD 10 guidelines as well as experience with CPT procedure codes

· Maintains acceptable accuracy and productivity rates. Documents all information in the appropriate system fields and/or account notes

· Assure that all pre-certification requirements are met on a timely basis. Assures notation has been made of authorization number and follows up on missing authorizations.

· Field all Interventional Radiology (IR) phone calls

· Schedule any requested patient appointments for IR

· Obtain records, bloodwork, etc. as needed for IR patients

· Send referrals to other doctors as requested

· Get cardiac clearance if patients need to come off their medications such as blood thinners, etc.

· Schedule appointments, procedures and surgeries as requested or needed at other facilities/hospitals

· Complete patient disability forms for (FMLA)

· Help the scheduling department with appointment scheduling, answering incoming calls and processing physician orders as needed

Minimum Qualifications

Education: High School Diploma preferred, medical assistant or other clinical related education highly preferr

Experience: Minimum 1-year experience working in a clinical setting such as a medical practice required

Knowledge and Skills:

· Basic knowledge of health insurance; experience with prior authorization preferred

· Excellent working knowledge of patient registration, insurance precertification and medical terminology with the ability to review and interpret insurance and precertification requirements. Ability to maintain confidentiality of records and information

· Problem Solving & Conflict Resolution - Can identify and address problems before they become larger issues for customers or the organization

· Excellent Writing Skills - documenting the current state of a project or an issue in a way that clearly states what needs to be accomplished and who needs to accomplish it. Exhibits good judgment regarding urgency and type of communication required

· Excellent Verbal Communication Skills - Understanding how to discuss issues and questions with senior management and customers in a way that clearly delineates accountability and allows you to get things done right the first time

· Work Effectiveness - Understanding the importance of timelines - engaging customers in setting mutual expectations. Does not over-commit time and demonstrates the ability to plan, monitor and prioritize workload and effectively handle multiple projects simultaneously

· Excellent Customer Service - Exhibits an assertive "can-do" attitude that builds customer confidence and meets or exceeds expectations. Is pro-active in approach and can anticipate needs or concerns in advance. Builds rapport with colleagues and customers based on trust and commitment

· Displays strong human relationship and interpersonal abilities in sharing appropriate information and strong attention to organization and detail. Always strives to find and increase work efficiencies

· Technical proficiency in Electronic Medica Records Sysem, EPIC, Microsoft Office Suite Programs including Word, Excel, and Outlook. Data entry experience required

· Consistently model AIDET principles, service excellence and service recovery. Consistently demonstrate commitment to safe practices while abiding by all OSHA and HIPAA guidelines.

Physical requirements: Occasionally required to lift, push, or pull light to moderate items. Must be able to stand, stoop, lift, and ambulate without restriction. The role primarily involves remaining in a seated, stationary position and performing frequent keyboard and computer-based tasks. Regular communication with internal and external stakeholders is required, along with occasional movement throughout the office and periods of standing as needed.

WORKING CONDITIONS: Moderate noise associated with a typical work environment (computers, printers, and light traffic) is characteristic of this job.
