Job Title: Inventory & Materials Coordinator (Purchasing)

About the Role

5280 Stone is seeking a highly organized and detail-oriented Inventory & Materials Coordinator to manage material ordering, receiving, and inventory control for our fabrication and installation operations. This role is critical to ensuring projects stay on schedule, materials meet quality standards, and costs are controlled.

You will work closely with vendors, project managers, and the operations team to ensure that materials are readily available and efficiently allocated from inventory.

Key Responsibilities: Material Ordering

  • Review project readiness and ordering alerts to determine material needs
  • Place orders with vendors using internal systems and purchase orders
  • Communicate clearly with vendors regarding orders, delivery timelines, and changes
  • Track all orders and update delivery statuses in internal systems
  • Link materials to specific jobs and maintain accurate records

Material Receiving & Quality Control

  • Assist receiving team with all incoming deliveries whenever possible
  • Inspect materials for quantity, color consistency, finish, thickness, and damage
  • Complete and sign material check-in documentation
  • Ensure all materials are tagged, photographed, and processed within 24 hours
  • Address and resolve any material issues with vendors immediately

Special Materials Coordination

  • Order and track specialty items such as sinks, brackets, adhesives, and equipment
  • Coordinate with project managers to ensure timing aligns with install schedules
  • Inspect and process specialty materials upon delivery

Inventory Management

  • Conduct monthly inventory audits of all materials and supplies
  • Maintain accurate tracking of slabs, remnants, sinks, and hardware
  • Identify and report unused or aging inventory
  • Ensure all materials are properly serialized and accounted for
  • Alert the Operations Manager if inventory is not in stock and will cause delays in production

Vendor Management

  • Build and maintain strong relationships with suppliers
  • Communicate regularly regarding pricing, availability, and product updates
  • Assist in securing competitive pricing and managing costs
  • Update internal systems with current material data and pricing

Key Performance Metrics

  • Maintain material costs at or below 30% of revenue
  • Ensure accurate and timely material ordering and receiving
  • Minimize delays, errors, and material waste

Daily Responsibilities

  • Coordinate and oversee incoming material deliveries
  • Order materials based on project needs and alerts
  • Communicate with vendors and internal teams
  • Print and manage material tracking labels
  • Report any issues or delays immediately

  • Strong organizational and multitasking skills
  • High attention to detail and quality standards
  • Excellent communication skills (email, phone, vendor coordination)
  • Ability to work in a fast-paced, deadline-driven environment
  • Experience with inventory, purchasing, or operations (preferred)
  • Experience in construction, stone, or fabrication industries (a plus)

Accountability

This role is critical to operational success. Failure to properly manage materials can result in delays, quality issues, and cost overruns. This position is responsible for full adherence to purchasing and inventory procedures and continuous improvement of systems.

Job Type: Full-time

Pay: $20.00 - $40.00 per hour
