About the Position

This position is responsible for supporting the management of inventory control functions: coordinating and documenting the flow of product between warehouses, researching and troubleshooting concerns regarding inventory accuracy or system errors, and managing the scheduling of all inbound delivery appointments. This position will also provide support and guidance on all incoming receiving aspects of verifying and accurately recording the inbound donations and purchases. This will require working closely with the food sourcing and the warehouse operations team to ensure the accuracy of the inventory at the point of entry. In this role, strong organizational skills, along with attention to detail, and great customer service are key to supporting the mission of Second Harvest of Silicon Valley. Special projects may be assigned by the Senior Inventory Planning Manager.

Responsibilities

Inventory Control

  • Lead the efforts to ensure cycle count parameters in all warehouses are being followed
  • Complete daily cycle counts and reporting as needed
  • Lead the month end closing ensuring all departments have completed the necessary transactions for the month
  • Support and coordinate the food recall processes
  • Review, analyze, and document quarterly cycle count discrepancies of all products
  • Research and resolve Ceres transactions, while supporting operational partners
  • Monitor and prepare daily corrections, credits, and postings when Ceres and physical balances do not match
  • Review, analyze, and determine any adjustments needed to supply in order to meet demand and communicate any changes to appropriate departments
  • Oversee and support completion of agency return orders

Scheduling and Receiving

  • Oversee and manage the scheduling of inbound shipments for all warehouses
  • Manage the shipping and receiving hotline and email, by following up and providing great customer service in a timely manner
  • Maintain and update the schedules of two receiving calendars through outlook, providing the most up-to-date information regarding the delivery
  • Collaboratively work with food sourcing and the warehouse team regarding scheduling and capacity
  • Collaborate with cross-functional teams to identify, evaluate, and implement scheduling software that enhances inbound trucking coordination

Distribution

  • Monitor on hand inventory and work with teams to determine distribution plan for aged items
  • Work with warehouse staff in all inventory areas on FIFO (first in, first out) and FEFO (first expired, first out) controls, as it relates to short-dated and aged products
  • Assist with providing incoming feedback to the food sourcing team regarding the quality and viability of product
  • Direct transfers to and from various sites and storage locations to support shopping, online ordering and box builds
  • Continually revise and update tools used for operational efficiencies and improvements

Other Responsibilities

  • Collaboratively work close with the food sourcing, operations, and production teams to maintain consistent processes at all warehouses (transfers, cycle counts, agency returns, suspense, etc.)
  • Assist with the review and updating of department standard operating procedures
  • Assist with the training of new personnel, while maintaining expected level of productivity
  • Perform other duties as assigned by management to satisfy organizational goals and objectives
  • Work with IT on projects related to inventory and supply chain management

  • Flexibility to adjust in a changing environment and willingness to take on additional responsibilities
  • Ability to perform duties in accordance with SHFB's Safety Policies and Injury Prevention Program
  • May require lifting or carry items up to forty (40) pounds. Will require you to walk, sit, squat, bend, twist, and reach at various heights above and below shoulder level
  • Work inside freezers and coolers with a temperature range of –10° F. to 38°F
  • Possession of a valid California driver license and a clean DMV record. Willingness to drive personal vehicle, as required. Compensation for business mileage to be reimbursed at standard IRS rates
  • Bachelor’s Degree from an accredited college or relative work experience, with minimum of one year or more experience in inventory control practices and procedures, including knowledge of receiving, inventory tracking, food storage, food handling, food safety and distribution practices

This is a hybrid position. Specifics of work location will depend on department need.

An employee’s regular remote work site should be within driving distance of one of Second Harvest’s locations and must be within the state of California.


Hours


Full-Time, Exempt, On-Site. Regular schedule 8am-5pm, must also be flexible and willing to provide back up support to a 6am-3pm shift.


Compensation

$72,592 - $85,402 is the wage range for this position. The salary wage offer will be commensurate with skills and experience. Outstanding and generous health benefits program, 4-5 weeks of Flexible Time Off (vacation and sick), eleven paid holidays, and retirement plan.
