Inventory Management / Warranty Coordinator

Job Summary
We are seeking a highly organized and detail-oriented Inventory & Warranty Coordinator to support our appliance repair operations. For inventory, the role ensures technicians have the right parts to complete service calls efficiently and oversees ordering, receiving, tracking and reconciling appliance parts while maintaining accurate inventory records. The warranty side is responsible for processing manufacturer warranty claims, coordinating with technicians, and ensuring accurate and timely reimbursement for completed service work. Position will also include answering phones and setting up job tickets when extra support is needed. The ideal candidate thrives in a fast-paced service environment and is committed to delivering excellent customer service and support.

Responsibilities

INVENTORY

  • Manage daily inventory of OEM appliance parts
  • Order parts from approved suppliers and manufacturer portals
  • Receive, inspect, and verify incoming shipments for accuracy and damage
  • Track parts issued to technicians and reconcile unused or returned items
  • Maintain accurate inventory levels in inventory management or service software
  • Conduct regular cycle counts and full inventory audits
  • Monitor stock levels and forecast reordering needs to prevent shortages
  • Manage part returns, core returns, and warranty part returns to manufacturers
  • Organize storage areas for efficiency and accessibility
  • Work closely with dispatch and service teams to ensure timely part availability

WARRANTY

  • Review service tickets to verify warranty eligibility for major household appliances
  • Submit and track warranty claims with manufacturers such as GE, Electrolux, Bosch, Sub-Zero, etc.
  • Ensure labor, parts, and trip charges meet manufacturer guidelines and get pre-approvals when needed
  • Communicate with technicians to obtain required documentation (model/serial numbers, photos, diagnostics, etc.)
  • Follow up on outstanding claims to ensure timely reimbursement
  • Resolve rejected or denied claims by correcting errors and resubmitting
  • Maintain accurate records of all warranty activity
  • Monitor warranty receivables and provide reporting to management
  • Assist customers with warranty-related questions and claim status updates
  • Assist with continuous improvement of warranty processes and annually work with warranty providers to ensure rates are sufficient

Requirements

  • High school diploma or equivalent (Associate’s or Bachelor’s degree a plus)
  • 1–3 years of administrative, warranty, service, dispatching or claims processing experience preferred
  • Strong organizational skills and problem-solving skills
  • Very detail-oriented with strong data entry accuracy
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office (Excel, Word)
  • Ability to manage multiple tasks and meet deadlines
  • Experience with service management software is a plus
  • Strong understanding of appliance parts, diagnostics and service terminology is a plus
  • Ability to lift and move parts (up to 40 lbs)

Job Types: Full-time, Part-time

Pay: $17.00 - $21.00 per hour
