- Future orders to be made from reports (not guessing)
- Low-inventory alerts to actually mean something
- Fewer out-of-stocks on hot items
- No money wasted on non-movers expiring in storage
This role is critical. Mistakes here directly cost the store money.What You Are Responsible ForYou are responsible for:
- Uploading all invoices into the POS accurately
- Updating inventory quantities and price changes
- Keeping shelves and storage organized and counted
- Catching discrepancies early
- Preventing overstock on slow items
- Preventing out-of-stock on fast movers
You are not responsible for making orders however you can make suggestions to management.What NOT To DoYou do not:
- Ignore discrepancies
- Guess quantities
- Leave errors “for later”
- Decide to hide or delay mistakes
If something looks wrong, you stop and ask management.Daily Priorities (In Order)1st. Receiving & Invoices (Top Priority)Whenever a delivery arrives:
- Frozen items are entered first to avoid defrost
- Work carefully but efficiently
- Every invoice line must be entered correctly
- You may use AI ONLY TO SHOW ON WHAT PAGE OF THE INVOICE THE LINE IS.
- All pricing for products must maintain 40% MARGIN, shown on POS System Product Maintenance
VERY IMPORTANT – MarktPOS Saving Rule
- The system is cloud-based
- You must:
- Click Save
- Verify it saved
- Click Save again
- Confirm before moving to the next item
If you forget to save, the inventory will be wrong and cause losses later.2nd. Accuracy ChecksEach day you must:
- Check freezers (back of store + basement)
- Compare what you see physically vs what the system shows
- Resolve differences immediately
If unsure → ask the manager.3rd. Floor & Shelf WorkWhen not on the POS:
- Count items on shelves
- Count items in storage
- Update the system to reflect the true total
- Bring product from storage to shelves so shelves are full
- Organize shelves to look neat and professional
- Fix missing or incorrect price tags
Default task when idle:Count → Update → Stock → Organize.High-Risk Departments (Extra Attention)Most volatile and stressful:
Rules:
- Meat & Seafood and Dairy expire fastest
- These areas must be checked frequently
- Inventory errors here cause immediate losses
Waste, Expiration & DiscountsExpiration Rules
- Expiration date = must be thrown out after date
- Shrink item in POS and discard
“Best By” Items
- Can legally still be sold
- Stay on sale to move quickly
Discounting Rules
- Items expiring within 1 month or less must go on sale
- Hot movers may stay full price, if uncertain → ask manager
- You may suggest discounts, but confirm if unsure
Produce
- Small department
- Adjust price based on quality
- Prevent waste where possible
Errors & Discrepancies (Zero Tolerance)No error is acceptable to ignore.If you see:
- Wrong price
- Wrong quantity
- Missing product
- Confusing invoice line
- Something that “doesn’t make sense”
You must:
- Stop
- Tell the manager immediately
- Fix it together
Do not guess.
Do not wait.Communication RulesIf the manager is:
- In store → ask in person
- Not available → call
- No answer → text as last resort
If you are unsure, escalate.
That is the correct action.Work Expectations

- When there is “nothing to do,” that means:
- Counting
- Organizing
- Correcting
- Stocking
There is always something to do.What Success Looks LikeYou are succeeding if:
- Inventory numbers match reality
- KPI (Key Performance Index) every 1-2 months goal of 98% accuracy is achieved.
- Hot items stay in stock
- Slow items stop expiring in storage
- Orders can be made efficiently from reports
- The manager no longer needs to constantly fix inventory errors
