Position Overview

The Inventory & Operations Coordinator plays a critical role in supporting the financial and operational efficiency of Kelley Creek Foods. This position is responsible for managing inventory systems, overseeing order-to-invoice workflows, and acting as a liaison between the finance/accounting team and operational staff. The Coordinator ensures accurate tracking of product movement, reconciles inventory and sales data, and supports clear, timely communication between departments to maintain alignment on reporting, fulfillment, and planning.

Reports to: Director of Operations of Kelley Creek Foods

Scope of Responsibilities

  • Maintain accurate inventory records across all wholesale facilities and ERP systems (e.g., QuickBooks, NetSuite); monitor stock levels, reconcile discrepancies, and ensure timely updates reflecting product movement and usage
  • Coordinate and verify incoming and outgoing inventory with vendors and internal teams to ensure alignment with purchase orders and sales orders
  • Conduct and support regular audits and physical counts to ensure alignment between system records and on-hand inventory
  • Maintain and update cost records for raw materials and finished goods; support margin reporting and cost analysis
  • Liaise between operations and finance to ensure accurate data entry, inventory valuation, and cost-of-goods reporting
  • Manage the end-to-end order-to-invoice process, including sales order entry, shipment coordination and tracking, invoice generation, and alignment with finance to ensure timely and accurate billing; collaborate with sales and logistics teams to confirm product availability, shipping timelines, and invoicing readiness
  • Generate weekly and monthly reports on inventory turnover, fulfillment metrics, invoicing accuracy, and data discrepancies
  • Maintain documentation for USDA, Organic, and third-party compliance, including vendor spec sheets, labeling, and audit logs
  • Assist with the implementation, maintenance, and optimization of ERP and inventory systems to support operational efficiency
  • Identify bottlenecks and inefficiencies across inventory, invoicing, costing, and data workflows; lead or support process improvement initiatives to streamline operations, enhance accuracy, and increase overall efficiency
  • Works on special projects as assigned.

Job Type: Full-time

Pay: From $60,000.00 per year
