Job Summary
The Inventory & Procurement Coordinator supports daily warehouse operations, inventory movement, and procurement activities to ensure materials, finished goods, and supplies are received, stored, transferred, and tracked accurately. This role helps maintain product integrity through coordination with Quality and Production teams, supports purchasing processes to prevent shortages, and ensures warehouse locations remain organized, maintained, and audit-ready. The position also supports ERP build creation by setting up finished goods builds using defined cost and material components. The role requires regular physical work and strong cross-functional communication.
Essential Duties & Responsibilities
Inventory Movement & Warehouse Support
- Verify shipping and receiving accuracy and provide coverage for shipping/receiving duties when needed.
- Coordinate inbound and outbound inventory movement including receiving, stocking, transfers, and issuing materials.
- Oversee transfer of finished goods from production to the correct storage location.
- Coordinate product transfers for ECOM/FBA to maintain proper inventory levels.
- Review inventory levels and communicate with staff when products or supplies are running low.
- Re-stock inventory after products return from further processing.
- Monitor expired or near-expired inventory and communicate next steps to appropriate teams.
- Identify inventory issues or discrepancies and report findings to leadership for review and resolution.
- Perform duties physically as needed, including moving product, verifying locations, and organizing inventory.
ERP Build Creation / Finished Goods Setup
- Create finished goods builds in the ERP system by selecting and assigning required components such as raw materials/product inputs, labor, and overhead to generate a completed finished good.
- Ensure build structures are accurate and aligned with approved production specifications, costing expectations, and inventory transaction requirements.
- Coordinate with Finance, Production, and Operations to verify correct costing elements and inventory impacts tied to ERP builds.
- Maintain documentation and consistency for build records to ensure traceability, compliance, and accurate product availability for sale.
Quality & Documentation Coordination
- Partner with QC and inventory movement handlers to enforce:
- QC holds
- Allergen containment
- Segregation of organic and conventional raw materials and products
- Perform QC-related documentation and ensure SOPs are followed.
- Quarantine received labels and communicate with Quality for product release.
- Handle communication related to storage, inventory status, movement, processing needs, QC status, and documentation requirements.
Cycle Counts & Reporting
- Conduct weekly cycle counts and support reconciliation activities.
- Create cycle count reports and communicate issues when physical counts do not match the system.
- Assist with audits and ensure warehouse readiness and documentation compliance.
Procurement Assistance
- Monitor the purchasing email inbox and maintain professional communication with internal teams and vendors.
- Create and process purchase orders in the ERP system and place purchases through ERP and/or approved vendor portals.
- Confirm orders with vendors, track open purchase orders, and follow up on ETAs to prevent shortages or delays.
- Communicate order status updates, delivery changes, or purchasing issues to relevant teams and leadership as needed.
Facility & Location Maintenance
- Maintain all warehouse and storage locations inside and outside, including:
- Cleaning and organization
- Inspection readiness and documentation
- Support quality assurance expectations related to storage conditions, cleanliness, and compliance.
Cross-Functional Support
- Work closely with Finance and Accounting to ensure monthly inventory records are accurate.
- Support operational goals by accepting additional responsibilities and contributing to process improvements as needed.
Requirements:
Required
- Associate degree in Supply Chain, Business, Logistics or related field.
- 1+ years of experience in warehouse operations, inventory handling, receiving/shipping, or procurement support.
- Strong organization, time management, and problem-solving skills.
- Proficient in Excel and basic computer systems (ERP/WMS preferred).
- Strong communication skills and ability to work with multiple teams.
Preferred
- Bachelor’s degree in Supply Chain, Business, Logistics, or related field.
- Experience with cycle counts, inventory reporting, QC holds, or audit support.
- Familiarity with SOPs and quality documentation in a manufacturing environment.
- Experience creating builds, BOMs, or finished goods structures in an ERP system.
Pay: $25.00 - $28.00 per hour
