Job Summary:

Circadia is seeking an experienced Inventory & Procurement Manager to oversee inventory control and purchasing operations. This role will manage demand forecasting, supplier negotiations, purchase orders, and inventory accuracy, ensuring that production schedules are met and costs are optimized. The ideal candidate is highly organized, collaborative, and capable of building strong vendor relationships while driving process improvements across the supply chain.

What You’ll Do:

· Oversee and manage all inventory activities, including raw materials, packaging, and finished goods, ensuring accuracy, compliance, and optimal stock levels to meet production and sales demands.

· Develop and maintain a demand forecasting process in collaboration with Sales, Production, and Product Development teams to anticipate needs and prevent stockouts or overstock situations.

· Source, evaluate, and negotiate with vendors and suppliers to secure quality materials, competitive pricing, and favorable terms while ensuring on-time delivery.

· Create and manage purchase orders, monitor open orders, and follow up with suppliers to track and expedite shipments as necessary.

· Establish and monitor supplier performance metrics, including on-time delivery, quality compliance, and cost effectiveness, providing feedback to improve relationships and outcomes.

· Collaborate with Quality Assurance to ensure incoming materials meet established quality standards and address non-conformance issues promptly.

· Maintain accurate inventory records using NetSuite or other IMS systems, perform regular cycle counts, and reconcile discrepancies to ensure data integrity.

· Generate inventory and procurement reports, analyze trends, and present actionable insights to leadership to inform purchasing decisions and cash flow management.

· Continuously evaluate and optimize storage practices, material flow, and warehouse layout to maximize efficiency and minimize waste.

· Partner with Finance to manage budgets, control costs, and align purchasing activities with financial goals.

· Support new product launches by coordinating procurement of new raw materials and packaging to meet project timelines.

· Implement process improvements and automation initiatives to streamline procurement and inventory workflows and reduce manual administrative tasks.

· Ensure compliance with internal policies, regulatory requirements, and industry standards for documentation, traceability, and reporting.

· Provide leadership and guidance to inventory staff, fostering a culture of accuracy, accountability, and continuous improvement.

What You Bring:

· Bachelor’s degree in Supply Chain Management, Operations, Business Administration, or a related field preferred; equivalent combination of education and relevant experience considered.

· 5+ years of experience in inventory management, procurement, or supply chain operations, preferably in manufacturing, cosmetics, or personal care industries.

· Proven experience with sourcing, supplier negotiations, and contract management, with a track record of reducing costs and improving vendor performance.

· Strong knowledge of inventory management principles, demand forecasting, and supply chain best practices.

· Proficiency with ERP systems (NetSuite preferred) and advanced Excel skills for data analysis, reporting, and decision support.

· Familiarity with GMP (Good Manufacturing Practice) and regulatory compliance requirements for material handling and documentation.

· Excellent organizational, problem-solving, and analytical skills with a focus on accuracy and continuous improvement.

· Strong interpersonal and communication skills, with the ability to collaborate cross-functionally and build effective vendor relationships.

· Ability to manage multiple priorities under tight deadlines while maintaining attention to detail.

· Professional certifications such as CPIM or CSCP a plus.
