Job Title: Inventory, Purchasing & Manufacturing Logistics Specialist

Role Overview

The Inventory, Purchasing & Manufacturing Logistics Specialist plays a critical role in ensuring that materials, chassis, and manufactured components move through DM Vans’ workflow with precision, accuracy, and efficiency. This role owns the upstream supply chain—from receiving to part tracking—as well as the downstream manufacturing logistics that support on-time, high-quality van production.

Success in this position directly impacts build timelines, cost control, and customer satisfaction. This role connects Purchasing, Inventory, Manufacturing, and Finance—making sure the right parts are in the right place at the right time, properly documented and costed in Odoo and ready for the production team.

This role reports to the Director of Operations and works closely with Manufacturing, Customer Experience, Product Development, and Finance.

Key ResponsibilitiesInventory & Purchasing Logistics

Receiving, Inspection & Data Control

  • Accurately receive and record all incoming materials, components, and chassis into Odoo with near 100% data integrity.
  • Conduct thorough quality inspections on every shipment; document and report damages, shortages, or incorrect deliveries.
  • Initiate warranty, damage, and replacement claims to recover costs and maintain supplier accountability.

Inventory Organization & Accuracy

  • Maintain an organized, efficient storage system to prevent material loss, misplacement, or overstocking.
  • Oversee bi-annual cycle counts, weekly spot checks, and continuous accuracy verification.
  • Manage and update Odoo Inventory, ensuring part numbers, locations, quantities, and product details are always accurate.
  • Proactively flag low inventory levels and coordinate with purchasing to prevent production delays.

Purchasing & Cost Management

  • Create, submit, and manage Purchase Orders (POs) across all vendors for materials, hardware, and components.
  • Perform cost analysis and identify opportunities to reduce spend or optimize purchasing cycles.
  • Advance Just-In-Time (JIT) inventory principles to reduce stockpiling and improve cash flow.
  • Align purchasing with production schedules, Bill of Materials (BOMs), and upcoming build demand to avoid shortages and over-ordering.

Production Support & Material Flow

  • Work closely with the Floor Manager to stage materials according to production requirements, model, and build sequence.
  • Ensure production lines are consistently supplied with the correct materials, in the correct quantities, at the correct time.
  • Track chassis as they move through the build cycle, maintaining accurate status information to support internal planning and CX delivery scheduling.
  • Troubleshoot material shortages or misalignments quickly to keep builds on schedule.

Manufacturing Logistics & Accounting

Manufacturing Order (MO) Management

  • Create and oversee Manufacturing Orders (MOs), ensuring accuracy against Sales Orders (SOs) and current BOM data.
  • Monitor MO progress in Odoo; identify and resolve material shortages, substitutions, or constraints impacting production.
  • Collaborate with Product and CX teams to ensure changes in BOMs or product specs are reflected in MOs and material planning.

Manufacturing Accounting in Odoo

  • Oversee manufacturing accounting within Odoo, ensuring that materials, labor, and overhead are correctly captured against each MO.
  • Work closely with the Finance Department to:
  • Validate standard costs and landed costs on key components.
  • Reconcile inventory movements, scrap, and adjustments to maintain clean financial records.
  • Support month-end and year-end close activities related to inventory and cost of goods sold (COGS).
  • Provide accurate, timely reporting from Odoo to help Finance analyze build costs, margins, and variances.

Final Assembly & Delivery Prep (Operations Side)

  • Manage final staging of materials and documentation needed for completed vans (QC checklists, component traceability, etc.).
  • Oversee end-of-line material verification, ensuring all parts and components are correctly installed and accounted for before handoff to the delivery/CX team.
  • Ensure complete traceability and documentation for every build, including materials used, revisions, and serial tracking where applicable.

Continuous Improvement & Cross-Functional Collaboration

  • Identify and implement process improvements that reduce waste, improve inventory accuracy, and support smoother production flow.
  • Partner with Operations, Finance, and CX to improve forecasting, purchasing strategies, and production planning.
  • Uphold a clean, safe, and organized warehouse and staging environment.
  • Communicate clearly and consistently with Manufacturing, CX, Finance, and leadership about risks, constraints, and solutions in the supply chain.

Reporting & Performance Metrics

Track and report KPIs related to:

  • Inventory Accuracy: ≥ 98% accuracy in Odoo; cycle-count variance ≤ 2%.
  • Stockouts & Material-Related Delays: Minimal stockout events; zero missed build dates due to preventable material shortages.
  • PO & Lead Time Performance: On-time delivery of critical materials in line with production schedules; reduced rush orders.
  • Cost Optimization: Implementation of cost-saving initiatives (pricing improvements, vendor consolidation, JIT enhancements) each quarter.
  • MO Adherence: High on-time completion rate for MOs relative to scheduled build dates.
  • Claims & Recovery: Timely initiation and closure of supplier damage/defect claims with strong cost recovery.
  • Manufacturing Accounting Health: Clean MO costings, minimal unexplained variances, and timely support for Finance during close.

Key Skills & Qualifications

Required

  • 3+ years in inventory control, purchasing, logistics, or supply chain roles.
  • Experience in manufacturing environments, preferably automotive, RV, or fabrication.
  • Strong working knowledge of Odoo or similar ERP systems (Inventory, Purchase, MRP, and manufacturing/finance workflows).
  • Excellent attention to detail and high accuracy with data entry and record-keeping.
  • Strong organizational skills and ability to manage multiple priorities in a fast-paced environment.
  • Clear and proactive communication skills; comfortable working cross-functionally with Operations, Manufacturing, CX, Finance, and vendors.

Preferred

  • Understanding of BOM structures, production scheduling, and MRP processes.
  • Experience implementing JIT or lean manufacturing principles.
  • Familiarity with manufacturing cost accounting concepts (standard cost, variance, COGS) is a plus.
  • Ability to read and interpret purchase documents, work orders, and spec sheets.
