The Inventory Receiving Associate is responsible for ensuring that all donations and appointments are updated in a timely and accurate manner, while maintaining all Food Bank standard operating procedures (SOPs).


This position is scheduled to work Monday - Friday,
7:30 am - 3:30 pm with a 30 minute unpaid lunch break. Occasional Saturdays and Weekends as needed


Responsibilities:

Data Coordination and Systems Input– (70%)

  • Receives all donations and purchase orders into Ceres (ERP)
  • Transfers orders to branches
  • Assists with operational reports as needed
  • Updates receiving appointments and tracks loads
  • Effectively communicate with commercial carriers/donors about loads

Collaboration and Communication - (30%)

  • Collaborates with Food Sourcing staff to ensure invoices for direct shipments are properly documented Ceres
  • Participates in monthly meetings and trainings as required
  • Assists with cycle counting and count discrepancy investigations. Ensures inventory discrepancies do not exceed 1.5%
  • Provides coverage for the Product & Shopping Coordinators, as needed
  • Adhere to all food safety regulations and Food Bank standard operating procedures
  • Aids with continuous improvement of Operations department functions and processes
  • Participates in End-Of-Year inventory activities

Qualifications:

  • High school diploma or GED required; a minimum of 1 year of related work experience in inventory control, or an equivalent combination of education and experience.
  • Previous experience using inventory control software is required.
  • Must have, or be able to, obtain forklift certification – training will be provided
  • Demonstrated ability and experience to work independently and to be well organized.
  • Strong written, verbal, and interpersonal skills are required
  • Must be able to work well with the public and with peers in a positive and professional way.
  • Strong computer skills required.
  • Experience using Microsoft office software, Proficient in MS Excel required
  • Must believe in the mission of the organization.

Physical Demands:

This job has a significant physical aspect associated with the work, including frequent use of tools typically employed in the warehouse. While performing the essential functions of this position, the employee is regularly required to talk, hear, and interact without deliberate impediment (e.g. wearing or listening to headphones, etc.). The employee frequently is required to stand; walk; use hands to finger, handle or feel; climb and/or balance, stoop, crouch, and crawl.


The employee is often required to sit and lift and/or move up to 10 pounds. The employee is occasionally stoop, kneel, crouch, and lift and/or move up to 30 pounds.


Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Work Environment:

  • While performing the responsibilities of the job, the employee is required to work in an office and warehouse setting.
  • Must be able to spend at least 65% of the day standing and walking on surfaces such as concrete and ground.
  • Frequently, the employee will be required to drive an automobile.
  • The employee will be required to interact with Food Bank personnel in the warehouse(s). In doing so, the employee will occasionally be exposed to moving mechanical parts and vehicles.
  • The noise level in the work environment is usually quiet to moderate.
  • Warehouse can be extremely cold at times and extremely hot during the summer months.
