INVESTMENT OFFICE ASSOCIATE

Description:

INVESTMENT OFFICE ASSOCIATE

Family Office & Operating Companies

Position Summary

Join the Professional Tribe LLC team, supporting a family office and affiliated operating companies across agriculture, real estate, and investment activities. This role works directly alongside the Principal and Chief Investment Officer, gaining hands-on exposure to deal-making, M&A activity, and investment analysis while helping drive execution of high-impact initiatives.

This role is intentionally designed for a highly capable, intellectually curious problem-solver seeking accelerated growth and real proximity to how investment decisions are developed, evaluated, and executed. Operating at the center of executive activity, this position supports deal-flow coordination, investment research and analysis, financial modeling, diligence preparation, and transaction-related initiatives—while also owning critical operational responsibilities that keep the organization running smoothly.

Blending analytical rigor with hands-on execution, this role is best suited for a high-potential professional who thrives on intellectual challenge, is comfortable building models and working through numbers, and wants a front-row seat to deal-making and strategic decision-making within a family office setting. Expect meaningful C-suite access alongside genuine grunt work—both are essential to the role.

  • Support fund accounting and investment operations, including processing capital calls (tracking notices, coordinating wire instructions, and updating commitment schedules), preparing and posting journal entries across entity books, and maintaining general ledger accuracy through periodic reconciliations and account reviews.
  • Conduct research and analytical support related to investments, M&A activity, deal flow, grants, incentives, and strategic initiatives.
  • Collect data and information from internal and external sources; analyze and synthesize findings into clear, decision-ready summaries and materials used in investment and strategic discussions.

  • Support audits, insurance reviews, and regulatory processes by providing required records and documentation.
  • Serve as a liaison with insurance brokers, external advisors, and internal teams as needed.
  • Support administrative and operational needs across multiple LLCs and affiliated companies, comfortably navigating shifting priorities, incomplete information, and ambiguity.
  • Provide administrative support for the family office real estate portfolio, including lease coordination, tenant communications, and maintenance scheduling.
  • Handle sensitive and confidential information with discretion, professionalism, and sound judgment.
  • Collaborate with finance, legal, HR, IT, and operations teams on cross-entity projects and executive initiatives.
  • Occasionally welcome and direct clients, partners, or visitors in a professional manner.
  • Travel to multi-site locations (primarily within a two-hour drive each way) for project-based needs, typically same-day trips, up to approximately 30% of work time.
  • Perform other duties and support special projects as needed, consistent with the scope and responsibilities of the role.
