Investment Operations Assistant (Part-Time/Remote Friendly)

About the role

We are seeking a detail-oriented Investment Operations Assistant to support our team across daily reconciliations, reporting, data management, and investment implementation. This role partners daily with advisors/planners, client service, portfolio managers and custiodians, and is ideal for someone who values meaningful part-time work with hands-on exposure to portfolio operations at a Financial Advisory firm, and enjoys accuracy, systems, and follow-through.

Key responsibilities

Daily operations and trade support

  • Monitor daily transaction reports and communicate material activity to portfolio managers and advisors
  • Support individual bond purchases, including preparing order details, verifying cash availability, affirming trades, and updating systems
  • Help manage daily cash processes and maintain a cash flow tracking spreadsheet

Systems and data management

  • Maintain and update key systems used by the team, including Eclipse (portfolio management), Wealthbox (CRM), YCharts (research and analytics), Egnyte (document management), and Schwab (custodian)
  • Ensure data integrity and consistency across systems
  • Update and reconcile tracking spreadsheets and databases, including cash spreadsheets, legacy positions, non-traded assets, and account lists

Reporting and analysis

  • Generate monthly cash reports, out-of-balance reports, and quarterly private investment reports
  • Prepare portfolio management notes and support advisor meeting preparation
  • Conduct ad hoc portfolio analysis and performance attribution as requested

Annual and periodic projects

  • Support recurring portfolio management tasks such as dividend reinvestment reviews, RMD updates, capital gains estimates, fee reconciliations, DAF reviews, and mutual fund share class reviews
  • Assist with process improvement initiatives and technology implementation

Qualifications

Required

  • Strong/Advanced Excel skills, including formulas, lookups, pivot tables, power queries and reconciling data
  • Exceptional attention to detail and organization
  • Clear written and verbal communication
  • Ability to manage multiple priorities and follow through reliably
  • Expertise in improving workflows and automating repetitive tasks
  • Authorization to work in USA

Preferred

  • Bachelor’s degree in Finance, Economics, Accounting, or related field
  • Experience in wealth management, asset management, or financial services
  • Familiarity with Eclipse, YCharts, Wealthbox, and Schwab (helpful but not required)

Schedule note

We offer flexible scheduling. Some responsibilities benefit from consistent weekday availability, and we will coordinate the workflow with the right candidate.

Compensation

$26 to $32 per hour, depending on experience.

Time off and leave

As required by Colorado, employees receive paid sick time and access to the state’s paid family and medical leave program.

Position type

This role is part-time at hire. Over time, depending on firm needs and fit, the role may expand in hours. If it becomes full-time or near full-time in the future, the company would offer benefits in line with our standard eligibility policies.
