IP Docket Specialist

Banner Witcoff’s Docketing Department is responsible for managing the daily procedures and deadlines for our intellectual property work. We are seeking a full-time IP Docket Specialist to join the firm and become an integral part of our Docketing Department. The candidate will be required to work in the office a minimum of two days per week. This in-office requirement may increase based on the needs of the department and/or the firm.
Requirements and Qualifications:
- High School diploma required
- Works well in a team-oriented environment, fostering trust, communication, and shared accountability
- Ability to work independently and collaboratively in a fast-paced environment
- Strong written and oral communication skills
- Strong organizational skills
- Must be detail-oriented and able to balance multiple tasks with proven strong time management skills
Preferred skills:
- Experience in patent prosecution processes
- Experience with CPi
- Extensive knowledge in linking complex patent families
Duties and Responsibilities:
- Update CPi docket system daily with accurate entries and date calculations
- Review, profile, and process physical mail on a weekly basis, which requires in-office attendance
- Assist attorneys, paralegals and legal assistants with inquiries and specialized reports in a timely and efficient manner
- Communicate with attorneys and staff regarding issues relevant to clearing the docket, and advancing actions as needed
- Assist with quality assurance review for all patent docketed correspondence
- Assist with patent file transfers and special projects as assigned
- Assist with training and mentoring team members
- Assist with other administrative tasks and special projects as needed

From time to time, the employee may be required to perform other duties in support of the operation of the office, as requested by their supervisor or manager. This position is a hybrid role, with a blend of remote and in-office work. The employee will be required to work in the office at least two days per week, or more, depending on business needs and/or work assignments. In-office specific duties include managing mail, copying, face-to-face meetings, greeting clients and visitors, team collaborative projects, as well as company events.

The salary range for this role is $50,000 to $55,000 annually. This is a non-exempt position. This range is only applicable for jobs to be performed in Chicago, IL. This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. An employee’s pay within the salary range will be based on numerous factors including, but not limited to, relevant education, qualifications, experience, skills, geographical location, and business or organizational needs. This job is also eligible for an annual merit increase and bonus pay.
