IT Manager (Full Time)

Position Description
As the IT Manager, you will provide strategic and operational leadership for the organization’s information technology services, with direct oversight of the IT Endpoint Specialist and coordination with external IT partners, including Heartland Business Systems (HBS). This exempt role is responsible for ensuring reliable, secure, and efficient IT operations across all clinic and business office locations.

The IT Manager collaborates closely with clinical, imaging, operational, and executive leadership to support technology needs, system availability, compliance, and future growth. This position oversees endpoint support, infrastructure coordination, PACS support strategy, VOIP systems, IT security and compliance initiatives, and technology projects that support OakLeaf Clinics’ programs and initiatives. The IT Manager serves as a key liaison between internal stakeholders and external vendors, ensuring technology solutions align with organizational goals and healthcare best practices.

Responsibilities

  • Provide direct supervision, leadership, coaching, and performance management for the IT Endpoint Specialist
  • Ensure timely, high-quality endpoint support across all clinic and business office locations
  • Oversee and support Picture Archiving and Communication Systems (PACS) operations in collaboration with the Imaging team, including issue escalation and workflow optimization
  • Partner with Heartland Business Systems (HBS) to manage day-to-day IT operations, infrastructure support, system upgrades, and vendor accountability
  • Actively participate in endpoint support by working on user tickets and troubleshooting hardware and software issues
  • Collaborate and work side by side with Endpoint Specialists to ensure timely resolution of tickets and technical issues
  • Monitor ticketing system performance, response times, resolution quality, and trends to proactively address recurring issues
  • Lead IT Security & Compliance initiatives, including participation in monthly (or as needed) security and compliance meetings
  • Ensure adherence to HIPAA, cybersecurity, and organizational IT policies and procedures
  • Implement and maintain core security controls, including least privilege access, secure administrative accounts, MFA enforcement, endpoint security, encryption standards, patch SLAs, and secure system configurations
  • Manage operational security monitoring and evidence, including audit logs, endpoint security consoles, alert triage workflows, and remediation tracking
  • Lead vulnerability management efforts, including routine scanning, prioritization, remediation coordination, and documentation
  • Maintain incident response readiness through documented playbooks, escalation paths, tabletop exercises, and standardized documentation
  • Produce audit-ready evidence supporting HIPAA Security Rule safeguards and internal reviews, including reports, screenshots, logs, and change records
  • Oversee VOIP systems, including RingCentral management, configuration, and support escalation
  • Develop, implement, and maintain IT policies, procedures, and documentation to support consistent and secure operations
  • Build and maintain IT documentation, including system inventories, network and endpoint standards, change logs, and procedures
  • Own the endpoint lifecycle, including purchasing standards, imaging and provisioning, encryption, patching, hardware replacements, and secure disposal
  • Manage IT-related projects, including clinic expansions, equipment refreshes, software implementations, and workflow improvements
  • Coordinate equipment procurement, inventory management, asset tracking, and lifecycle planning
  • Ensure appropriate labeling, documentation, and deployment of IT equipment according to organizational standards
  • Collaborate with clinical, imaging, and administrative leaders to assess technology needs and recommend solutions
  • Support disaster recovery planning, business continuity efforts, and system resiliency initiatives
  • Evaluate emerging technologies and make recommendations to improve efficiency, security, and user experience
  • Maintain strict confidentiality of information and model exceptional customer service standards
  • Prepare reports, metrics, and updates for leadership regarding IT performance, risks, and initiatives
  • Other duties and projects as assigned to support OakLeaf Clinics’ mission and strategic goals


Qualifications

  • Bachelor’s degree in Information Technology, Computer Science, or a related field and/or equivalent progressive IT leadership experience
  • 5+ years of progressively responsible IT experience, including endpoint support, systems administration, or healthcare IT
  • 2+ years of IT leadership or supervisory experience – Preferred
  • Experience working in a healthcare environment with knowledge of clinical workflows – Preferred
  • Strong understanding of Picture Archiving and Communication Systems (PACS) and imaging informatics – Preferred
  • Certified Imaging Informatics Professional (CIIP) – Preferred
  • Ability to support or guide CIIP certification for direct reports
  • Experience managing vendor relationships and third-party IT service providers
  • Strong knowledge of Windows operating systems, endpoint management, and hardware lifecycle management
  • Extensive experience supporting Microsoft365 environments
  • Understanding of clinical EMR applications such as Epic – Preferred
  • Experience with VOIP systems, specifically RingCentral – Preferred
  • Working knowledge of cybersecurity principles, HIPAA requirements, and IT compliance standards
  • Exceptional troubleshooting, analytical, and problem-solving skills
  • Excellent written and verbal communication skills with the ability to communicate technical concepts to non-technical users
  • Strong organizational, prioritization, and project management skills
  • Ability to lead, mentor, and develop technical staff
  • High level of professionalism, discretion, and integrit
  • Ability to work independently, manage competing priorities, and make sound decisions in a fast-paced environment
